Job Summary:
The DMV Administrator is responsible for managing all vehicle registration and titling processes in compliance with state and local regulations. This role requires strong attention to detail, excellent organizational skills, and a solid understanding of automotive laws and DMV procedures.
Essential Functions:
- Process vehicle titles and registrations for new and used vehicles, ensuring accuracy and compliance with DMV regulations, and accuracy of customer information.
- Prepare and maintain accurate records of all transactions, including titles, registrations, and dealer paperwork.
- Assist customers with DMV-related inquiries, providing clear and accurate information regarding titles, registrations, and related fees.
- Ensure all paperwork adheres to state and federal regulations, maintaining up-to-date knowledge of changes in DMV laws and procedures.
- Collaborate with sales, finance, and service departments to gather necessary documentation for transactions.
- Generate reports related to vehicle titles and registrations as required by management.
- Address and resolve any issues related to titles and registrations, including discrepancies or missing documentation, including applying for duplicate titles.
- Communicate with DMV offices and external vendors to facilitate the registration process and resolve any outstanding issues.
- Review and maintain schedules related to DMV while reporting adjustments needed to management in a timely manner
- Review and maintain updates in fees in the dealership DMS that may be needed to insure accurate collection from customers
- Maintain a clean and organized work area.
- Attend monthly operational meetings at various store locations as needed.
- Assist the accounting department with various administrative tasks related to financial record-keeping.
- Support other dealership departments with financial documentation as needed.
- Maintain satisfactory attendance.
- Performs other related duties as assigned.

Qualifications:
Minimum Qualifications:
- Minimum of 3-5 years of experience in a business analysis or financial analysis role, preferably in the automotive industry.
- Ability to lift up to 15 pounds.
- Ability to perform all essential functions of the job description.
Preferred Qualifications:
- Associate degree or additional coursework in business or automotive fields.
- Previous experience in a dealership, automotive administration, or DMV office.
- Strong organizational and multitasking abilities.
- Excellent communication and customer service skills.
- Proficiency in dealership management software and Microsoft Office Suite.
- Knowledge of DMV regulations and vehicle registration processes.
- Ability to maintain accuracy in documentation and data entry.
Physical Demands:
- Frequently stands, walks, sits; uses hands; frequently reaches with hands and arms; frequently talks and hears.
- Occasionally climbs or balances; occasionally stoops, kneels, crouches, squats or crawls; occasionally lifts up to 15 pounds.
- Prolonged periods sitting at a desk and working on a computer.
Environment/Noise:
- Office setting, typically within the accounting department.
- Climate controlled.
- Noise level is quiet to moderate.
