Position Summary:The Operations Admin Specialist is a full-time role that will report to the HR Manager and support all employees, customers, and vendors, on any project, as necessary. This position will be responsible for the daily maintenance of the office environment to ensure smooth operations, as well as assisting with project-related tasks.
Job Duties (not limited to):- Answer phones and greet visitors at the front of the office
- Sign for and distribute deliveries and mail
- Oversee the daily schedule and prepare the office for important meetings
- Restock office supplies & manage the kitchen cleanliness and supplies
- Work as the office liaison with outside vendors (pest control, cleaning team, property managers etc.)
- Assist with employee, vendor, and customer onboarding
- Support in the coordination of office activities and celebrations
- Manage and track customer project shipments as well as address any shipping issues
- Review and track customer project shipments and report to accounting for invoicing
- Issue resale certificates and liaise with vendors to ensure tax-exempt status is applied correctly on invoices
- Prepare and file state sales tax returns (monthly, quarterly, and annual)
- Assists with data entry and tracking of service ticket and warranty information
- Assist with setting up new customer projects
- Assist with creating customer quotes and gathering dealer pricing
- Assist the sales team as necessary
- Ad hoc project support, as necessary
Qualifications and Skills:
- Bachelor’s Degree and minimum 2+ years of experience in related roles
- Intermediate computer skills and knowledge in Microsoft Word and Excel
- Basic knowledge of Office 365 and Share Point
- Government contract experience, a plus
- Ability to work independently with minimum supervision as well as in a team-based environment
- High level of attention to detail
- Professional demeanor and strong customer service
- Strong independent decision-making skills; excellent analytical skills and professional judgment
- Excellent time management and organizational skills
- Strong written and verbal communication skills; ability to manage multiple tasks with accuracy and efficiency
- Must be able to lift and move shipping boxes to designated areas in office

This job is in San Diego, California and is an in-office position Monday through Friday, with the ability to move to a hybrid role in the future.

Salary range is $24.00/hr. to $26.50/hr. depending on experience.
