Role Description The Executive Personal Assistant is a full-time, on-site role based in the San Diego Metropolitan Area, supporting senior leadership with high-level administrative and personal assistance. Day-to-day responsibilities include managing calendars and diaries, coordinating meetings, preparing agendas, and arranging travel and accommodations. The role also involves handling correspondence, organizing documents and files, assisting with presentations and reports, and monitoring follow-ups and deadlines.
The Executive Personal Assistant will act as a key communication liaison, maintain confidentiality, and ensure that the executive’s time and priorities are managed efficiently. This position requires a proactive approach, strong organizational skills, and the ability to anticipate needs in a fast-paced, professional environment.
Qualifications
- Candidates should possess strong Personal Assistance skills, including managing tasks, priorities, and confidential information.
- Candidates should possess Executive Administrative Assistance skills, such as meeting coordination, travel planning, and document preparation.
- Candidates should possess excellent Communication skills for interacting with internal teams, external partners, and executives.
- Candidates should possess effective Diary Management skills, including scheduling, rescheduling, and organizing daily agendas.
- Candidates should possess solid Clerical Skills, including filing, data entry, correspondence handling, and record keeping.
- Proficiency with office software (e.g., Microsoft Office or similar productivity tools) and comfort with learning new systems.
- Strong organizational skills, attention to detail, and the ability to manage multiple tasks and deadlines.
- Demonstrated discretion, professionalism, and reliability in supporting executive-level leadership.
- Previous experience as an executive or personal assistant in a corporate or financial services environment is preferred.
- Relevant education or training in business administration, office management, or a related field is beneficial.
