We are seeking a detail-oriented and experienced Document Control Specialist to support an active portfolio for a major utility client in the San Diego area. This role is responsible for managing the full lifecycle of project documentation - from intake and filing through transmittal, version control, and audit readiness. The ideal candidate is organized, systems-savvy, and comfortable working in a fast-paced utility environment with multiple concurrent project teams.

Key Responsibilities:
  • Manage and maintain project documentation across an active portfolio of utility projects - including drawings, RFIs, submittals, change orders, and correspondence logs.
  • Ensure accurate version control and proper filing of all project documents in accordance with utility documentation standards and internal protocols.
  • Coordinate and track document transmittals between internal teams, contractors, engineers, and stakeholders - ensuring timely delivery and acknowledgment.
  • Maintain and administer document management systems (SharePoint, Unifier, or equivalent), ensuring data integrity and accessibility for all project team members.
  • Track and log submittals, RFIs, and project correspondence; follow up on outstanding items and elevate as needed to keep workflows moving.
  • Support audit readiness and regulatory documentation requirements by maintaining organized, traceable records throughout the project lifecycle.
  • Assist project managers and engineering teams with document-related administrative tasks, including formatting, publishing, and distributing project materials.
  • Identify and flag documentation discrepancies or gaps; work proactively with team members to resolve issues.
  • Support continuous improvement of document control processes, naming conventions, filing structures, and reporting cadences.
  • Perform other document control and administrative duties as needed in support of the broader project team.
Required Qualifications:
  • 3+ years of document control experience supporting capital projects, utility infrastructure, or engineering environments.
  • Proficiency in document management systems
    - SharePoint, Unifier, Aconex, or similar platforms.
  • Strong understanding of document control principles including version control, transmittal management, RFI and submittal tracking, and records management.
  • Proficiency in Microsoft 365 applications (Excel, Word, Outlook, Teams).
  • Excellent attention to detail and organizational skills with the ability to manage high volumes of documentation across multiple projects simultaneously.
  • Clear written and verbal communication skills; comfortable coordinating with engineers, project managers, contractors, and stakeholders.
  • Ability to work independently in a hybrid environment with onsite availability in the San Diego area as needed.
Preferred Qualifications:
  • Experience supporting electrical engineering, distribution, transmission, or substation projects within a utility environment.
  • Familiarity with SAP, Power BI, or other utility project systems.
  • Experience working within a PMO or program controls environment.
  • Associate's or Bachelor's degree in Business Administration, Construction Management, or a related field - or equivalent combination of education and experience.
