The Project Coordinator provides critical support to the Project Management and Accounting teams by managing subcontractor financial processes, including invoicing, pay applications, budget tracking, and compliance communication. This role ensures accurate, timely, and compliant financial administration throughout the lifecycle of commercial construction projects.
Key Responsibilities- Manage subcontractor invoicing and pay application workflows
- Review invoices and pay applications for accuracy, contract compliance, and required backup
- Track subcontractor contracts, commitments, and budget line items
- Coordinate subcontractor payment status and respond to billing inquiries
- Assist with cost tracking, job cost reports, and budget updates
- Support monthly owner and subcontractor billing cycles
- Maintain financial records, commitments, and billing documentation in project systems (e.g., Procore)
- Coordinate subcontractor onboarding, including contract execution, insurance, and compliance requirements
- Communicate with subcontractors regarding billing requirements, payment status, and corrections
- Support project closeout by ensuring all financial documentation is complete and reconciled
- 2+ years of experience in construction accounting, project coordination, or subcontractor billing
- Strong understanding of construction invoicing, pay applications, and cost tracking
- High attention to detail and accuracy in financial documentation
- Ability to manage multiple deadlines tied to billing cycles
- Strong written and verbal communication skills
- Proficiency with Microsoft Excel and accounting or project management software
- Proficiency with Procore Financials
- Experience with Sage Intacct or similar construction accounting systems
- Familiarity with lien releases, compliance documentation, and payment workflows
- Associate’s or Bachelor’s degree in Accounting, Construction Management, or related field
- Financially detail-oriented and process-driven
- Strong follow-up and accountability
- Comfortable communicating with subcontractors regarding billing and payments
- Ability to work cross-functionally with Project Management and Accounting teams
