Summary
We are representing a reputable and growing mechanical contractor in San Diego seeking a Project Coordinator to support HVAC and plumbing projects across a range of commercial and institutional markets. This position offers a dynamic opportunity to work closely with Project Managers, field teams, and clients — helping ensure smooth project delivery from start to closeout.
This is a great opportunity for someone with strong administrative and organizational skills who enjoys working in a construction setting and wants to grow within the mechanical trades.
Key Responsibilities- Provide day-to-day project coordination and administrative support to the Project Management team
- Maintain project documentation, including RFIs, submittals, meeting minutes, and change orders
- Assist with subcontractor communications, scheduling, and compliance tracking
- Help prepare and submit project documentation packages including closeout binders and O&M manuals
- Coordinate material and equipment deliveries with vendors and field teams
- Track project milestones, assist with scheduling updates, and maintain document logs in Procore or similar platforms
- Support billing processes, including gathering backup and preparing applications for payment
- Help manage safety documentation, jobsite logs, and quality control paperwork
- Communicate regularly with internal departments and external stakeholders to ensure project continuity
- 2+ years of experience in construction administration or project coordination; mechanical or HVAC experience preferred
- Familiarity with HVAC or plumbing systems and terminology is a plus
- Experience using construction management software such as Procore, Bluebeam, or Microsoft Project
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams)
- Highly organized and detail-oriented with strong written and verbal communication skills
- Ability to support multiple projects simultaneously in a fast-paced environment
- Positive, team-first attitude with a willingness to learn and grow
