We are looking for a highly organized and collaborative Operations Coordinator to join our Sage Water team! We’re growing, and we’re looking for more great people to help us continue to grow!

POSITION SUMMARY:

Sage Water is looking for an Operations Coordinator that will play a critical support role in the day-to-day execution of residential multifamily construction and renovation projects. This position ensures that project activity is accurately tracked, stakeholders are kept informed, and field operations run smoothly across all active units, phases, and projects. The ideal candidate is detail-oriented, organized, and comfortable operating in a fast-paced construction environment with multiple moving parts.

KEY

DUTIES AND RESPONSIBILITIES:

Project Tracking & Data Entry
  • Maintain daily logs of construction activity across all active units, phases, and projects, capturing progress, delays, trade schedules, and status changes in real time.
  • Ensure project management systems and records are up to date and accurately reflect field conditions at all times.
  • Generate and distribute daily or weekly status summaries as directed by the Division Manager.
Inspection Scheduling
  • Coordinate and schedule all required inspections, including municipal, third-party, and internal quality control walkthroughs.
  • Confirm inspection appointments with the appropriate parties, track outcomes, and log results.
  • Follow up on failed or deferred inspections to ensure timely re-scheduling and resolution.
Change Order & Allowance Tracking
  • Track all change orders and allowance items throughout the life of each project, maintaining an accurate and current log of approvals, costs, and status.
  • Collect, organize, and maintain photo documentation to support change order submissions and allowance reconciliation.
  • Coordinate with the Division Manager and relevant trade partners to ensure proper sign-off and documentation for all scope changes.
Stakeholder Communications
  • Serve as a primary point of contact for residents, the Division Manager, Project Managers and Property Managers regarding project scheduling, access, and status updates.
  • Respond to inquiries in a timely and professional manner, escalating issues to the appropriate team member when needed.
  • Maintain clear and organized records of all communications for reference and accountability.
Notification Posting
  • Draft and post required project notices and resident notifications in accordance with company standards and any applicable regulatory requirements.
  • Ensure notifications are distributed to the correct units and posted within required time frames.
  • Maintain a log of all posted notices, including date, content, and distribution method.
PREFERRED QUALIFICATIONS:
  • 2+ years of experience in a construction, property management, or project coordination role preferred.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook); experience with project management or construction management software a plus.
  • Strong organizational skills with a demonstrated ability to manage multiple tasks and priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Comfortable working in an active construction environment and interfacing with residents, field staff, and management.
  • High attention to detail and commitment to accurate recordkeeping.

Salary Range: $25 - $32 per hour based upon experience and qualifications
