Position OverviewEstablished San Diego law firm is seeking an experienced Litigation Secretary to support a busy civil litigation practice in its downtown office. This role requires a highly organized professional with strong knowledge of California court procedures, excellent document preparation skills, and the ability to manage complex litigation calendars and deadlines. The ideal candidate thrives in a fast‑paced legal environment, demonstrates strong attention to detail, and maintains a high level of professionalism when working with attorneys, clients, and court personnel.
Key Responsibilities- Manage and organize litigation documents and case files
- Prepare draft pleadings, shells, correspondence, and legal documents
- File and e‑file documents in California state and federal courts
- Prepare draft Judicial Council forms for court hearings
- Support attorneys in deposition and trial preparation, including:
- Exhibit preparation
- Trial binders
- Calendaring trial‑related deadlines and reminders
- Maintain litigation calendars and monitor critical court deadlines
- Communicate effectively with attorneys, firm personnel, clients, vendors, and third parties
- Utilize document management systems and software applications efficiently
- Minimum 5 years of litigation experience supporting civil litigation practice
- Strong knowledge of legal terminology, court procedures, and California Rules of Court
- Experience with state and federal e‑filing systems
- Excellent project management and organizational skills
- Exceptional attention to detail and proofreading ability
- Strong written and verbal communication skills
- High degree of professionalism and sound judgment
- Experience working within law firm practice groups
- Proficiency in Microsoft Office Suite (advanced formatting required)
- Experience preparing TOCs, TOAs, and Bates labeling
- Strong knowledge of PDF programs
- Experience with document management systems (iManage preferred)
- Familiarity with calendaring and database systems
- Bachelor’s degree (preferred but not required)
