Sports San Diego is a 501(c)(3) non‑profit organization with a purpose of recruiting, supporting, and hosting world‑class sports events. Under the umbrella of Sports San Diego, our organization owns & operates the Holiday Bowl, Rady Children’s Invitational, California State Games, and serves as the region’s sports commission. For over 45 years, the organization has played a significant economic role in the success of San Diego’s tourism industry generating over $1 billion in impact for the region.
Role OverviewThe Volunteer & Event Services Manager serves as the primary communication hub between Sports San Diego and its volunteer corps. With over 150 active Ambassador volunteers and 1,000+ public volunteers, our organization is critically dependent on volunteerism. This position will be responsible for proactively managing, communicating, and supporting our volunteers, while internally managing our databases, signup portals and communication schedules. In addition to year‑round volunteer coordination and communication, this position will also play a supporting role in coordinating events for the Holiday Bowl, Rady Children’s Invitational, California State Games, and events related to our Sports Commission efforts, including NASCAR San Diego.
Compensation$25.00 - $32.00 per hour (commensurate with experience)
Job Description Volunteer CoordinationServe as primary point‑of‑contact with 1,000+ volunteers & members
- Manage, update and refine online Volunteer Management Portal
- Post volunteer opportunities and schedule shifts for various events
- Serve as event‑day POC for all volunteers
Develop, implement and manage year‑round Ambassador communication schedule
- Send regular communications to volunteer Team Coaches to provide event details, point updates, and other information to pass along to their teams
- Create and implement event email templates to remind volunteers of upcoming shifts/events
Modernize, streamline and maintain volunteer database for Board of Directors, Ambassadors, Life Committee and Red Shirts
Develop annual volunteer appreciation plan (i.e. events, Volunteer of the Month, birthday/anniversary acknowledgment, etc.)
Serve as primary liaison to engage and inform Redshirts (young professionals group)
Coordinate regular Ambassador Committee meetings (4x/year)
- Book venues and food/beverages
- Work with Committee Chair to create meeting format/agenda
- Create meetings slides and agendas
Coordinate annual volunteer recruitment, applications and interview process
- Assist CEO and Nominating Committee with volunteer recommendations
Organize and facilitate annual new Ambassador orientation
Work with new Ambassadors to help integrate with the existing group
- Help order nametags, SSD apparel, redcoats for new members
- Send regular check‑in emails to make sure they are aware of events
Serve as primary POC for bowl week volunteer crew
- Work with staff to update and manage bowl week volunteer needs list
- Meet regularly with volunteer leadership to ensure needs are met
- Assist with Sports Commission annual membership renewals
- Partner with Controller to distribute and follow up on annual membership invoices
- Assist Sports Commission with member communications
- Work with Commission team to identify volunteer opportunities for Ambassadors and public volunteers
Assist with event coordination, including, but not limited to:
- Partner with Cal State Games operations team to determine number of volunteers needed, and recruit/communicate with those volunteers
- Opening Ceremonies and Fun Zone event support
- Assist with individual sport setup, event day operations, and teardown
- Recruit all necessary volunteers and communicate event details
- Assist with event setup, in‑tournament operations, and teardown
- Coordinate annual volunteer Directors Dinner (invitations, RSVPs, menus, AV, run‑of‑show)
- Coordinate logistics for Team Arrivals, Hospitality Suites, Barbers Night, VIP Party
- Support Holiday Bowl game operations efforts (i.e. catering, courtesy cars, civic official invitations, etc.)
