Job Title:

Materials Coordinator II Job Description

The Materials Coordinator processes non-conformance reports for parts that do not meet product standards or specifications, coordinates disassembly of affected assemblies, arranges return of non-conforming parts to suppliers, and creates new work orders to receive replacement parts. Once replacement parts arrive, this role enters them into the ERP system and ensures that work orders flow efficiently through the shop according to established priorities, helping reduce past-due orders and minimize late deliveries to both internal and external customers.

This position also supports data entry, packing, and inventory-related tasks within a manufacturing and warehouse environment. The role is expected to start as a temporary assignment to cover an employee on leave, with the possibility of becoming permanent.

Responsibilities
  • Process non-conformance reports for parts that do not meet standards or specifications.
  • Coordinate with the assembly team to move assemblies to the assembly area and oversee disassembly when required.
  • Identify non-conforming parts, arrange shipment back to suppliers, and ensure proper documentation.
  • Create new work orders to receive replacement parts from suppliers.
  • Enter newly received parts into the ERP system accurately and in a timely manner.
  • Ensure work orders flow effectively through the shop according to the established priority system.
  • Move and organize orders in each department daily to ensure orders run in the proper sequence.
  • Track and expedite late orders on the shop floor to minimize past-due and late deliveries.
  • Locate missing orders and coordinate appropriate next steps with various departments.
  • Coordinate and communicate order-related issues to relevant teams and stakeholders.
  • Fully track high-priority orders throughout their life cycle when required.
  • Provide and implement continuous improvement ideas to enhance warehouse and materials flow.
  • Perform data entry related to work orders, inventory, and materials transactions.
  • Assist with packing, shipping, receiving, and kitting activities as needed.
  • Handle a large volume of very small parts with care and accuracy.
  • Promote and comply with safety regulations and maintain a clean and orderly work area.
  • Be physically present on-site with regular and dependable attendance.
  • Work independently while also collaborating effectively with team members.
  • Support inventory control activities within the materials and warehouse functions.
Essential Skills
  • Experience in material handling or closely related warehouse duties.
  • Experience working in a manufacturing environment.
  • Knowledge of safety policies and procedures with the ability to promote and ensure compliance.
  • Experience with shipping, receiving, and kitting processes.
  • Ability to work with a large volume of tiny parts with strong attention to detail.
  • Ability to use a computer and operate an ERP system.
  • Strong communication skills, both verbal and written.
  • High level of attention to detail and accuracy in data entry and documentation.
  • Ability to work independently and as part of a team.

Skills & Qualifications
  • Experience with work order management and shop-floor prioritization.
  • Familiarity with non-conformance reporting and corrective action processes.
  • Experience in supply chain, inventory control, or shipping and receiving.
  • Comfort working in a fast-paced manufacturing and warehouse environment.
