Accounting Manager / Senior Accountant

- Reporting to the Chief Financial Officer, the Accounting Manager assists in maintaining the integrity of the financial accounting systems and record keeping for the organization and related entities.
- The role oversees day‑to‑day accounting operations‑including accounts receivable, accounts payable (managed through Ramp), bank deposits, cash handling, oversees the monthly close process, and other transactional duties‑and works closely with the CFO to ensure accuracy and timeliness across all financial processes.
- A core responsibility of this position is assisting in managing the monthly financial close, including journal entries, reconciliations, revenue and expense reviews, accruals, and preparation of close‑related schedules.
- The Accountant will collaborate with and review work from an offshore accounting team, ensuring accuracy, completeness, and adherence to internal controls across all entities.
- This role will also manage and update the organization’s monthly cash flow model, providing clear visibility into liquidity, upcoming obligations, and projected financial position.
- Manage and maintain financial records and systems in accordance with generally accepted auditing standards and accounting principles.
- Utilizes Sage Intacct financial accounting system software and other integrated systems to maintain accurate accounting records of several separate 501(c)3 and 501(c)4 non‑profit entities in full compliance with IRS and other regulatory requirements.
- Support the full monthly close cycle, including preparation of journal entries, accruals, reconciliations, and close checklists.
- Prepare detailed schedules, work papers, and reconciliations for monthly and year‑end audits.
- Evaluate actual results against budgeted results, analyze variances, and provide insights to executive team.
- Ensure strong internal controls and consistent documentation.
- Maintain AR subledger, issue invoices, verify transaction information, and monitor delinquent accounts.
- Prepare and maintain aging reports for membership, event, sponsorship, and contractual payments.
- Assist with collection efforts and prepare reports for staff follow‑up.
- Collaborate with Membership team and actively follow up and pursue open A/R.
- Reconcile AR with the general ledger across Sage, Hubspot, and Stripe.
- Manage vendor records in Sage Intacct and Ramp, including onboarding new vendors, W‑9 tracking, and payment setup.
- Process vendor invoices and expense reimbursements through Ramp, ensuring proper coding, approvals, and payment timing.
- Review and reconcile Ramp transactions with Intacct.
- Research and resolve vendor discrepancies.
- Oversee the preparation of the annual 1099 filings.
- Process and record check handling, bank deposits, ACH, and electronic payments.
- Perform regular bank reconciliations and maintain accurate cash records.
- Manage and update the organization’s monthly cash flow model, ensuring timely visibility into cash position, upcoming expenditures, and liquidity needs.
- Coordinate workflows with offshore accounting staff to ensure timely completion of AP, AR, reconciliations, and other month‑end activities and tasks.
- Review open items and reconcile issues from the offshore team, ensuring accuracy, completeness, and clear resolution.
- Provide feedback, process guidance, and clarification to offshore team members.
- Ensure offshore‑supported processes align with organizational policies and internal controls.
- Maintain financial historical records and support special projects and process improvements.
- Perform other miscellaneous job‑related duties as assigned by the CFO.
