About the team
The Supervisor, Accounts Payable is responsible for the day-to-day execution of the accounts payable function, including processing global invoices, reviewing T&E reports, managing vendor master data, and preparing payment batches. The role ensures invoices and payments are processed accurately, on time, and in line with company policy and internal controls.
This role also supervises one Accounts Payable Specialist, supports the month-end close through AP balance sheet reconciliations and variance analysis, owns the annual 1099 reporting process, and serves as a key liaison with internal and external stakeholders to address invoice, PO, and payment queries. The Supervisor, Accounts Payable also contributes to training and to system improvement and automation efforts across the procure-to-pay (P2P) process.
Whatyou will do
- Process global PO-backed and non-PO-backed AP invoices accurately and within established timelines, ensuring proper coding, approval, and matching.
- Review T&E expense reports for accuracy and compliance with company travel and expense policy.
- Prepare payment batches for vendor and T&E payments, ensuring accuracy, proper authorization, and timely disbursement.
- Set up new vendors and maintain vendor master data, ensuring records are accurate, complete, and kept up to date, including W-9 collection and tax data.
- Run the annual 1099 reporting process, including validating vendor tax data, reconciling reportable payments, and preparing and filing 1099 forms in compliance with IRS requirements.
- Supervise one Accounts Payable Specialist, providing day-to-day guidance, review, and support.
- Communicate with internal and external stakeholders to research and resolve invoice, PO, and payment issues in a timely and professional manner.
- Prepare AP balance sheet reconciliations as part of the month-end close process, including variance analysis review of significant fluctuations in relevant account balances.
- Facilitate training for new and existing users on AP processes and systems.
- Assist with management of the company travel platform (Navan), including user support and day-to-day administration.
- Assist with management of the company's corporate card programs, including employee credit cards and corporate virtual cards.
- Assist with system improvement and automation efforts across the P2P process, identifying opportunities to increase efficiency and strengthen controls.
- Troubleshoot AP related system integration issues in conjunction with the IT team.
- Assist with ad hoc financial reporting tasks.
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field, or equivalent practical experience.
- Solid experience (5+ years) in accounts payable, including processing PO and non-PO invoices and T&E review.
- Working knowledge of vendor management, 1099 reporting, and AP-related month-end close activities, including reconciliations and variance analysis.
- Strong understanding of AP processes, internal controls, and best practices.
- Prior experience supervising, mentoring, or leading AP staff.
- Experience with Coupa, Navan, Net Suite, and Flo Qast is strongly preferred (or comparable ERP, P2P, travel, and close-management tools).
- Experience processing global / multi-entity AP invoices.
- Strong attention to detail and a high degree of accuracy in transaction processing.
- Excellent organizational and time-management skills, with the ability to meet recurring deadlines.
- Effective written and verbal communication skills for working with internal and external stakeholders.
- Strong problem-solving skills, with the ability to research and resolve invoice and payment discrepancies.
- A collaborative, service-oriented approach and the ability to guide and support a team member.
For this role, the target base salary range in San Francisco is $92,000-$115,000 annually. This role is also eligible for equity and benefits. In general, our ranges reflect the market-based target for new hire salaries based on the level and location of the role. Within the range, individual pay is determined by objective factors assessed during the application and interview process, such as job-related skills, experience, and relevant education or training.
