Staff Accountant

Description We are looking for a detail-focused Staff Accountant to join a mission-driven nonprofit organization in San Francisco, California on a Contract basis. This role will support core accounting activities across payables, receivables, payroll coordination, reconciliations, and monthly financial close while helping maintain accurate and timely records. The ideal candidate brings strong accounting fundamentals, sound judgment, and the ability to manage daily financial transactions in a fast-paced environment.

Responsibilities:

- Manage day-to-day accounts payable activities, including reviewing invoices, preparing payment batches, and handling employee reimbursement submissions.

- Track and post incoming funds, monitor outstanding balances, and communicate as needed to help resolve overdue receivables.

- Reconcile bank accounts and credit card activity each month to ensure financial records remain complete and accurate.

- Oversee Positive Pay procedures, investigate payment exceptions, and address discrepancies tied to banking transactions.

- Assist with payroll administration for an employee population of approximately 40 staff members and respond to related questions when needed.

- Prepare journal entries and support account analysis as part of the monthly close process and routine general ledger maintenance.

- Maintain organized and accurate accounting data within Quick Books Desktop and help preserve strong financial recordkeeping practices.

- Contribute to internal reporting and support efforts to strengthen budgeting and forecasting accuracy.

- Provide timely support for accounting and payroll inquiries from employees, vendors, and other stakeholders.

- Assist with year-end reporting needs, including vendor documentation and 1099 preparation. Requirements - Demonstrated experience using Quick Books Desktop in a hands-on accounting role.

- Working knowledge of Concur and its use in expense or accounts payable processes.

- Practical experience across accounts payable, accounts receivable, journal entries, and general ledger support.

- Familiarity with payroll processing and related accounting coordination.

- Solid understanding of core accounting principles, including reconciliations and monthly close activities.

- Ability to work independently, manage priorities effectively, and contribute with minimal ramp-up time.

- Experience with check processing and Positive Pay controls is preferred.

- Background in nonprofit accounting, corporate tax, sales tax, or corporate tax return support is helpful but not required.
