Overview
Seed-funded AI biotech startup is looking for an Executive Assistant to support their CEO and CTO. With their sizable new funding led by top-tier VCs and plans to double in size, this is an exciting opportunity to join a fast-scaling, mission-driven team and grow in your role alongside the Founders. In this role, you'll provide primary support to the CEO and some support to the CTO, manage complex calendars with a focus on optimizing time, align priorities, own end-to-end travel planning, coordinate meetings with internal and external stakeholders, and prepare briefing materials and ensure follow-through.
You'll also jump in to help the operations team when possible to support recruiting, events, and facilities. Someone innately organized and systems-oriented, quick and responsive with a bias towards action, and a force multiplier who anticipates needs. Previous experience in a high-growth environment, who can work extremely independently with strong intuition and decision-making skills, is a must. This is a mostly in-office role based in San Francisco with some flexibility.

- Provide high-level executive support to the Co-Founders through complex calendar management, scheduling, and priority coordination.
- Proactively optimize schedules to minimize context switching, protect focus time, and align time allocation with business priorities.
- Manage dynamic task lists by assessing urgency, importance, and required follow-ups while anticipating next steps.
- Coordinate internal and external meetings, including 1:1s, team sessions, board meetings, and cross-functional discussions.
- Prepare briefing materials and ensure executives are well-equipped for meetings, events, and external engagements.
- Plan and manage efficient travel and transportation logistics aligned with strategic goals and working preferences.
- Maintain accurate records, communications, and action items while occasionally attending meetings to capture notes and outcomes.
- Support recruiting and operational initiatives by assisting with scheduling, onsite coordination, and ad-hoc business needs.
- Contribute to operational projects and company culture initiatives.
- Previous 4+ years of experience as an Executive Assistant supporting C-suite or leadership in a fast-paced, high-growth startup or similar environment.
- Ability to work independently with strong judgment, emotional intelligence, and intuition around timing, priorities, and communication.
- Highly organized and system-oriented, with demonstrated success in creating, improving, and maintaining efficient processes.
- Proactive, action-oriented mindset with the ability to anticipate needs and operate as a force multiplier for leadership.
- Comfortable receiving direct feedback, maintaining professionalism, and focusing on execution and outcomes.
- Exceptional time management, attention to detail, and adaptability in dynamic and ambiguous environments.
- Strong interpersonal and communication skills with experience in building trust and managing sensitive information with discretion.
- Proficiency with productivity and collaboration tools such as Google Workspace, Slack, Notion, Airtable, and similar platforms.
