Our client, portfolio venture capital, is seeking a highly organized, proactive, and energetic professional to join as an Executive Assistant & Office Manager
, reporting directly to the Chief of Staff. This individual will play a critical role in optimizing the CEO’s effectiveness while also serving as the operational anchor of the San Francisco office. The position offers strong mentorship and professional development opportunities, making it an excellent launchpad for someone eager to grow within a dynamic environment. Please note this is an onsite, temp-to-perm role based in San Francisco, CA. Pay will be $90k-$130k.yr.
Key Responsibilities:- Manage the CEO’s complex professional and personal calendar with precision
- Proactively prioritize meetings and commitments to support sustainable performance
- Serve as a strategic gatekeeper, ensuring adequate preparation and transition time
- Arrange domestic and international travel end-to-end, including flights, accommodations, and transportation
- Quickly and independently resolve last‑minute changes
- Partner closely with the Chief of Staff to understand executive preferences and priorities
- Anticipate needs and ensure leadership is fully prepared for meetings and engagements
- Oversee daily operations of the San Francisco office
- Serve as primary liaison to building management and vendors
- Maintain a well‑organized, welcoming office environment
- Coordinate internal lunches, gatherings, and team events
- Provide administrative and logistical support for internal and external events
- Assist the Chief of Staff and broader team with ad hoc projects and operational initiatives
- Step in quickly to support time‑sensitive priorities
- 2‑4+ years of experience in an administrative, operational, or coordination role
- Demonstrated ability to manage increasing levels of ownership and complexity
- Positive, composed, and professional demeanor
- Resilient and calm under pressure
- Proactively identifies issues and implements solutions
- Takes ownership without waiting for direction
- Strong desire to support leadership and team members effectively
- Exceptional attention to detail
- Ability to manage multiple priorities in a fast‑paced environment
- Proficiency with Google Workspace, Slack, scheduling platforms, and modern productivity tools
- Comfortable learning and adopting new systems quickly
