Workplace Operations Coordinator (Contract, On‑Site SF) About World Labs:

What You Will Do- Coordinate and schedule interviews between candidates and hiring teams, managing complex shifting calendars
- Maintain applicant tracking system (ATS) by updating candidate records, tracking pipeline metrics, and ensuring data accuracy
- Support new hire onboarding processes including background checks, offer letter preparation, and first‑day logistics.
- Serve as the primary point of contact for candidates throughout the recruitment process, providing timely updates and excellent candidate experience throughout the process
- Manage day‑to‑day office needs, including supplies, vendor relationships, and general organization
- Track and follow up on partnership care packages and similar initiatives
- Help plan and execute team events, off‑sites, and company gatherings
- Take on special projects as they arise in a fast‑moving startup environment
- Identify opportunities to improve processes, systems, organization, and daily operations
- Jump in where needed to help the team run smoothly
Qualifications:
- 1–3 years of administrative, operations, coordinator, or similar experience (or equivalent experience through internships, startups, non‑traditional backgrounds, or fast‑paced environments)
- Strong organizational skills with sharp attention to detail and follow‑through
- Clear, timely, and professional written and verbal communication
- Comfort with ambiguity, changing priorities, and a “no task too small” mindset
- Tech‑savvy and curious, with confidence in navigating digital tools and figuring things out independently
- Sound judgement and discretion when handling confidential information
- Collaborative, proactive, and genuinely curious about how a growing startup operates
- An inquisitive mindset and interest in business operations, people, and how teams work
Schedule:
- This is a full‑time, on‑site role based at our San Francisco office. The regular schedule is Monday through Friday, with occasional weekend availability required based on business needs. This position is not eligible for remote or hybrid work.

Pay Range
$36‑$60 per hour, commensurate with experience and qualifications. This is a temporary contract position.
Salary History
