Global healthcare investment firm is looking for an Executive Assistant to support their COO and Managing Director. This is an exciting opportunity to be a partner to the COO and support high-impact operational initiatives at a firm building breakthrough biotech companies. In this role, you’ll manage the COO’s dynamic, constantly shifting schedule, optimizing calendars and anticipating conflicts, coordinating complex travel, and maintaining running lists of priorities.
You’ll be working closely with the COO to support the Managing Director. In addition, you’ll support the COO with operational initiatives, lead planning for the firm’s AGM and company events, and oversee office operations, including expansion and renovation projects. Someone who anticipates needs proactively and drives processes to completion, while being an exceptional communicator who articulates clearly and takes ownership.
This is a hybrid role (2 days/week onsite) based in San Francisco. There will be some travel, 2-4 trips per year. 140-160K+ DOE + bonus, generous benefits, 401k, and unlimited PTO.
- Provide primary support to the COO and secondary support to the Managing Director.
- Manage the COO’s dynamic, constantly shifting schedule with flexibility as priorities change and optimize time by proactively anticipating needs.
- Coordinate travel logistics, including accommodations, transportation, and reservations, while providing detailed itineraries.
- Maintain a running list of tasks and priorities to enable efficient decision-making for the COO.
- Support the COO with day-to-day operations of the firm across functions, including HR, legal, and administrative matters.
- Lead planning and execution for the Annual General Meeting and other company events, including venue and vendor sourcing, partner with external events firms, and attend planning meetings.
- Act as a proactive liaison by gathering context and presenting clear recommendations to streamline communication and maximize time.
- Oversee office expansion and renovation projects. Managing relationships with architects, vendors, and contractors for office projects.
- Collaborate with the VP of Finance on office-related initiatives.
- Wear multiple hats and pitch in across operations wherever needed to support firm leadership.
- 4+ years of experience as an Executive Assistant supporting C-suite executives or leadership in a financial services, venture, or startup environment.
- Proven ability to anticipate needs proactively and drive processes to completion independently.
- Exceptional written and verbal communication skills with the ability to articulate recommendations clearly and concisely with supporting context for quick decision-making.
- Highly adaptable and able to roll with constant changes while remaining calm under pressure.
- Strong ownership mentality and leadership qualities with a service-oriented approach.
- Comfortable wearing various hats and working beyond the traditional EA scope to support firmwide operations.
- Strong judgment with the ability to make independent decisions and provide proactive recommendations.
- Event planning experience with taste, vision, and the ability to make decisions and execute flawlessly.
