Compensation: $23.30 - $28 per hour

Classification: Full-time, non-exempt

The Events Assistant plays a key role in supporting the daily operations of San Francisco Ballet’s Development Events team, serving as a vital contributor of information, coordination, and administrative support. This position is responsible for maintaining the department calendar, entering and updating event data, managing event matrices and tracking tools, and supporting the team in delivering exceptional events and donor experiences.

The role also collaborates closely with the Development Stewardship Coordinator on the Individual Giving Team to help staff the Jeannik Méquet Littlefield Intermezzo Lounge during the Repertory Season—primarily on Sundays and one rotating weekday evening from January through May. In this capacity, the Events Assistant serves as a welcoming, professional steward for donors and guests, ensuring an excellent SFB experience both in advance of and during their time at the War Memorial Opera House.

Responsibilities
  • Provide general administrative support, including data entry, filing, and document management.
  • Manage and maintain a library of event and donor profiles.
  • Maintain department events calendar.
  • Upload event details into the Tessitura database and maintain event matrices that track donor participation.
  • Support special event ticket sales and distribution, including tracking, data entry, and responding to inquiries via phone and email.
  • Collect special event ticket payments, submit vendor invoices, and track monthly credit card expenses.
  • Collaborate with the Development Stewardship Coordinator to provide coverage for the Jeannik Méquet Littlefield Intermezzo Lounge during the Repertory Season, including Sundays and one rotating weekday evening.
  • Serve as a welcoming, professional point of contact for donors and guests during performances and events.
  • Attend all San Francisco Ballet donor events and provide hands-on support for signature fundraising, stewardship, and external events.
  • Coordinate live and silent auctions, including item acquisition, database updates, event-day setup and execution, post-event follow-up, and lot fulfilment.
  • Assist with securing in-kind donations for signature events and auctions, process donations, and ensure proper gift documentation and acknowledgment.
  • Draft communications for event attendees and internal and external stakeholders.
  • Update and proof event website copy and gather content for monthly event marketing efforts, including donor e-newsletters and program books.
  • Support creation of event collateral between the Events and Marketing Teams in alignment with SFB brand standards and style guide.
  • Perform additional duties as assigned to support Development Events and overall Development departmental priorities.
Qualifications
  • 1–2 years of administrative, events, or customer service experience preferred.
  • Detail-oriented with strong organizational skills.
  • Comfortable managing multiple priorities in a fast-paced environment.
  • Professional communication skills, both written and verbal.
  • Experience with databases and CRM systems (Tessitura or similar preferred).
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Ability to maintain discretion and confidentiality with donor information.
  • Flexible, team-oriented mindset.
  • Interest in the performing arts or nonprofit development is a plus.
  • Availability to work Sundays and one floating evening each week during the Repertory Season (January – May).
Physical Requirements
  • Ability to stand for extended periods and lift up to 25 pounds.
  • Availability to work evenings and weekends as required by event schedules.
