Position: Office Coordinator (Contract)

Our co‑founders are Bret Taylor and Clay Bavor. Bret currently serves as Board Chair of OpenAI. Earlier, he started and led Google’s AR/VR effort, Project Starline, and Google Lens. Before that, Clay led the product and design teams for Google Workspace.

What You’ll Do
  • Greet guests at reception and cultivate a warm, welcoming office environment.
  • Maintain overall office organization, including kitchens, storage areas, and self‑service stations.
  • Reset and prepare office spaces to align with brand and craftsmanship standards.
  • Order, stock, and manage office supplies and inventory.
  • Receive incoming mail and packages, distribute items to employees, and coordinate outbound shipments.
  • Support Executive Assistants with meeting logistics, including lunch and coffee setup for internal and customer meetings.
  • Assist employees with ad‑hoc requests (e.g., equipment accessories, chargers, office needs).
  • Support internal teams with catering requests and event setup.
  • Assist with new hire onboarding and ensure a positive first‑day experience.
  • Maintain a high level of confidentiality and discretion with all materials and information.
  • Please note this is a 6‑month contract position and is ineligible for full‑time benefits below.
What You’ll Bring
  • 1+ years of office coordination or similar experience.
  • Strong interpersonal and communication skills and the ability to build relationships with a wide variety of individuals.
  • A methodical, process‑driven mentality that is focused on both accuracy and efficiency. Ability to multitask and meet deadlines with quality products.
  • Ability to build relationships, partnering effectively with cross‑functional teams and external partners.
  • Excellent time‑management skills, willingness to quickly shift tasks and priorities, and the ability to anticipate the needs of others before they arise.
  • Ability to lift, move, and organize office supplies or equipment weighing up to 20 pounds as needed.
