Venture capital is looking for an Executive Coordinator to support their CEO. This is an amazing opportunity to gain experience working with high-profile leadership and the potential to grow in your role as the organization scales. In this role, you'll be responsible for keeping the CEO on schedule throughout his busy back-to-back meeting days by staying two steps ahead, anticipating needs, and managing time to ensure the day runs seamlessly.

You'll prepare for the Executive's arrival to the office, set up meeting rooms and offices, greet guests and escort them where needed, coordinate meals, and perform ad hoc tasks. This role will work closely with and report to the Chief of Staff. Someone extremely service-minded with strong hospitality instincts, who loves the details and understands the impact of creating a top-notch experience.

Must be exceptionally organized and dependable, with strong time management skills to proactively anticipate needs. This is an in-office role based in San Francisco. 120-125K+ DOE + benefits, 401k w/ matching, and flexible PTO.

Responsibilities
  • Keep the CEO on schedule throughout the day, staying two steps ahead at all times to ensure seamless flow.
  • Support the Chief of Staff in managing the CEO's calendar, priorities, and day-to-day logistics.
  • Prepare meeting rooms and office spaces in advance, ensuring an organized, well-maintained space with the CEO's preferences taken into account.
  • Order and coordinate meals for meetings and the daily needs of the team.
  • Keep track of and manage time for the CEO to ensure meetings are on time and running efficiently to avoid conflicts.
  • Greet guests and visitors, bringing them to appropriate meeting rooms and offices.
  • Organize car service and travel logistics as needed
  • Maintain the CEO's office, including restocking supplies, organizing mail and packages, and keeping the space functional and organized.
Qualifications
  • 2+ years of experience as an Administrative, Executive Assistant, Operations, or similar role.
  • Willingness to jump in and help where needed.
  • Meticulously detail-oriented and organized.
  • Extremely service-minded and comfortable interacting with high-profile visitors and guests.
  • Adept at time management with a forward-thinking, proactive approach to identify and address needs.
  • Discreet and dependable with the ability to make decisions under pressure.
  • Adaptable mindset with the ability to remain composed in dynamic environments.
