Location: San Rafael, CA (onsite for training; hybrid flexibility once established)
Our government law firm client is seeking a proactive and detail‑driven Executive Assistant to support multiple attorneys. This role is ideal for someone experienced as the primary support for several attorneys and comfortable managing heavy calendaring and fast‑moving priorities. No specific practice‑area background required-you'll learn their niche government law practice on the job.
Key Responsibilities- Provide comprehensive administrative support to attorneys, including scheduling, calendaring, travel coordination, and project management
- Manage high‑volume deadlines and maintain accurate calendars for multiple litigation attorneys
- Assist with document management, filing, and office operations to support hybrid team schedules
- Coordinate communication across teams, clients, and vendors
- Learn internal systems and software quickly; support firm‑wide administrative functions as needed
- Build strong working relationships and serve as a reliable, go‑to resource for the team
- Minimum 2 years of experience supporting multiple attorneys or C-level professional services executives in a fast‑paced environment
- Strong calendaring and scheduling skills with the ability to juggle competing deadlines
- High proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and document management systems (Net Documents preferred)
- Excellent communication skills and professional presence when interacting with attorneys, staff, clients, and vendors
- Highly organized, detail‑oriented, and able to work efficiently under pressure
- Strong judgment, discretion, and ability to handle confidential information
- Proactive mindset with the ability to anticipate needs and follow through
- Experience in a law office, government, political campaign, or related environment
