Office Administrator – San Francisco

The Office Administrator position is located in our San Francisco office and will support a staff of over 50 individuals.

Position Summary

The Office Administrator oversees the administration of a satellite office, ensuring consistent application of firm policies and supporting staff performance, client services, and operational efficiencies. This role works closely with Cleveland office management and the Human Resources and Professional Development departments to manage onboarding, staffing, and budgeting.

Essential Functions
  • Staff the San Francisco location and assign duties to optimize support for timekeepers and clients.
  • Maintain a productive and harmonious work environment through a hands‑on approach.
  • Provide training and cross‑train support staff.
  • Coordinate scheduling of all support staff according to firm needs.
  • Oversee legal assistants and reception staff operations.
  • Maintain expertise in firm software systems.
  • Prepare and submit the annual office operations budget for approval by the Director of Practice Support.
  • Plan and implement office events such as holiday parties and luncheons.
  • Analyze and review financial operations to ensure costs remain within budget.
  • Manage staff personnel matters, including employment, training, evaluation, discipline, and termination per firm policy.
  • Monitor performance standards, provide timely feedback, and coach staff to address skill gaps.
  • Recommend compensation and staff bonuses based on merit and budget guidelines.
  • Maintain personnel availability records and inform others of planned or unplanned absences.
  • Maintain ADP for non‑exempt employees and process PTO requests.
  • Address office facility needs and coordinate with relevant parties.
  • Work with the Legal Recruiting Department as needed.
  • Assist in the end‑to‑end hiring process for support staff, including assessment, recruitment, selection, interviewing, hiring, and orientation.
Additional Responsibilities
  • Partner with firm personnel and management to plan and assess local projects, including client development and orientation programs.
  • Answer the main office line and greet visitors in the absence of the receptionist. Ensure adequate reception coverage when EPIQ is on location.
  • Provide backup assistance to other offices, including on‑site support when required.
  • Maintain office and kitchen supply inventories and manage related expenses.
  • Coordinate maintenance and housekeeping of facility areas such as kitchen, meeting rooms, and common areas.
  • Act as liaison between legal personnel, staff, and clients.
  • Perform other duties as assigned.
Qualifications

A bachelor’s degree is preferred. Minimum five years of experience as an office administrator, ideally in a law firm. Strong understanding of human resources functions, recruiting, staff development, and financial operations. Experience creating and managing a budget, excellent management and communication skills, and a customer‑service attitude. Proficiency in Word, Outlook, and related law‑firm software.

The salary range is $175,000 to $230,000. Base pay is based on market location and may vary; the position is eligible for a discretionary bonus and a comprehensive benefits package.
