Office Services Specialist – On Call (Temporary)
Reports To: Client Services Supervisor, Client Services Manager, Human Resources, or equivalent leadership.
Location: San Diego, California – In‑person, primarily at the main client site with travel within a 25‑mile radius.
The Field Support Specialist provides back‑fill coverage within the assigned region, ensuring continuous support for clients and maintaining high service‑level agreements. The role requires flexibility across multiple locations, including same‑day assignments for unscheduled call‑outs. It is essential for customer satisfaction and operational continuity.
Core functions include shipping & receiving, print & binding, facilities, hospitality, concierge, reception, data entry, document scanning, inventory management, and other processes tailored to site needs. Training is provided at SPS sites to build familiarity across locations.
Duties and Responsibilities- Mail Services:
- Provides exceptional service to all clients in all communication forms.
- Processes inbound and outbound mail/packages, sorting by recipient/department using manual or electronic chain‑of‑custody procedures.
- Performs shipping and receiving duties such as packaging and sealing shipments.
- Reprographics Services:
- Assists with copy/print production and monitors equipment for satisfactory functionality.
- Provides binding services (GBC, Velo, Coil, Wire Internal).
- Performs daily key operations on multifunction devices, replenishing toner and paper.
- Scans and images documents, providing light copy/print reproduction services.
- Office Services:
- Maintains the Office Services Center area in a neat and orderly fashion.
- Services and replenishes pantry, conference, kitchen, and meeting areas.
- Handles general and preventative office maintenance and repair duties.
- Oversees office equipment maintenance and safety tests.
- Organizes, cleans, and stocks breakroom facilities.
- Sets up meeting and conference rooms.
- Monitors office supply levels, replenishes, inventories, and orders as needed.
- Front of House:
- Provides reception or concierge coverage as needed.
- Welcomes guests, catalogs guest information, and orients new clients.
- Represents SPS Global and clients positively in person, over the phone, and by email.
- Maintains lobby concierge quality, demonstrating desire to assist and providing excellent service.
- Manages visitor registration, coordinates with building security, and handles client access levels.
- Answers and routes global calls appropriately.
- Provides light administrative support to staff as directed.
- Demonstrates strong verbal and written communication skills.
- Uses MS Office Suite with intermediate to expert competency.
- Manages multiple tasks simultaneously with good organizational skills.
- Maintains professionalism and composure with all employees.
- High School Diploma or equivalent (required).
- Preferred experience of 6+ months.
- Ability to work assigned hours as determined by manager.
- Excellent organizational and time‑management skills.
- Strong analytical and problem‑solving aptitude.
- Superb written and verbal communication skills.
- Current knowledge or ability to learn computer‑based systems required for the position.
- Professional appearance and attitude necessary.
- Adherence to all policies and procedures required.
- Approximately 50% of the time, the role requires the following physical demands:
- Fine and/or gross motor skills, including grasping, lifting, carrying 25 lbs. individually and 50 lbs. with assistance.
- Ability to walk, bend, kneel, stand, and/or sit for extended periods.
- Manual dexterity for operating office machinery and equipment such as ladders and binding machinery.
- Visual acuity to adjust focus and detect color differences for MFP color calibration and print requests.
- Travel is essential; reliable transportation required.
- Assignments may involve traveling from one SPS site to another within the assigned region.
- Travel distance will predominantly stay within the FSS’s assigned region.
