Summary of Business Area: The Clinical Quality (CQ) organization develops and executes clinical quality strategy and operations for Blue Shield, overseeing the performance of contracted provider organizations.

Position Summary: The Lead Administrative Assistant supports the Senior Director of the Medicare Star Program and department managers with calendar and budget management, employee onboarding, travel, document preparation, data management, and special projects. The role uses office technology such as computers, Microsoft Office Suite, and virtual meeting tools. Responsibilities also include information management, speaker coordination, and serving as an internal policy resource.

Responsibilities
  • Assist the Medicare Star Department in meeting department and BSC corporate goals.
  • Use standard office equipment to manage multiple calendars and appointments in Outlook, and submit and track expenses.
  • Compose, create, and proofread agendas, minutes, presentations, and other communications.
  • Schedule and coordinate materials for various internal and external meetings.
  • Prepare reports, graphs, and presentations, and perform data entry and data management using spreadsheet software.
  • Arrange extensive travel and create and submit subsequent expense reports.
  • Screen telephone calls and provide information to callers; maintain and order office supplies.
  • Prioritize tasks and requests.
  • Handle on‑ and off‑site meeting and event planning.
  • Develop collaborative relationships across multiple organizations.
  • Find solutions to problems in independent and creative ways.
  • Support a fast‑paced, results‑oriented team in a dynamic environment.
  • Take on special projects to support organizational goals as needed.
  • Provide backup support to other executive/administrative assistants as needed.

Qualifications
  • Education:
    • High School graduate or equivalent required;
      Bachelor's preferred.
  • Experience:
    • 5–10 years of prior experience in an administrative support role or demonstrated knowledge of administrative procedures and office equipment.
    • Advanced experience in Microsoft Office products (Outlook, Word, Excel, PowerPoint).
    • Excellent written and verbal communication skills.
    • Demonstrated experience working with virtual meeting technology.
    • Strong multitasking, organization, and problem‑solving skills.
    • Ability to prioritize tasks and meet deadlines.
    • Detail‑oriented and deadline‑driven.
    • Experience working in a fast‑paced environment.
    • Sense of urgency, initiative, responsiveness, and proactive approach to work.
    • Strong work ethic, upbeat personality with a can‑do attitude.
