Timekeeper and Administrative Support Analyst
Classification: ANALYST I
Job Description and DutiesUnder the supervision of the Supervisor I, the Analyst I performs a wide range of clerical, technical, and administrative support duties that ensure the accuracy of timekeeping records, the smooth operation of recruitment activities, and the proper maintenance of compliance and proceedings tracking. This is an office-centered position requiring three days in our San Francisco office with occasional telecommute opportunities not to exceed two days per week.
Work will include, but is not limited to the following:
- Process employee timesheets, leave activity, overtime documentation, and attendance records in ETS.
- Review and reconcile discrepancies, ensuring compliance with HR policies and bargaining unit provisions.
- Respond to staff inquiries regarding timekeeping procedures, coordinate with HR/Transactions, and maintain accurate records.
- Assist with general administrative support, file management, and division communications.
- Schedule interviews, coordinate availability, prepare interview packets, and manage logistics.
- Serve as proctor for structured interviews by administering written exercises, reading instructions, monitoring timing, and ensuring confidentiality.
- Process and organize materials, rating sheets, and candidate documentation in accordance with state hiring rules.
- Request proceeding ownership updates from Senior Management for upcoming Commission Meetings via e‑mail and Web Ex Chat.
- Collect WAS/OGA documentation, update the proceedings spreadsheet, and maintain SharePoint folders for meeting preparations.
- Track responses, follow up on outstanding items, and ensure information is accurate and complete.
- Assist in coordinating staff workshops, trainings, and in‑person meetings.
- Prepare materials, manage sign‑ins, set up rooms or virtual links, and provide on‑site support during events.
All duties require a strong attention to detail, accuracy, and the ability to manage multiple priorities in a dynamic environment.
