Position Summary

We are looking for a customer‑service oriented Executive Assistant to support the Office Head in our San Francisco office. The role includes reception coverage, executive support, mail processing, vendor and inventory management, food service assistance and event coordination.

Responsibilities
  • Coordinate communications, take calls, respond to e‑mails, interface with vendors, clients and firm leaders.
  • Proactively assist and anticipate the Office Head’s needs.
  • Prepare internal and external corporate documents.
  • Maintain the Office Head’s calendar, schedule meetings, manage travel itineraries and submit expense reports.
  • Set up meeting rooms, conference calls and presentation technology.
  • Maintain contact data, campaigns and dashboards in Salesforce CRM, adding meeting activity, sales opportunities and event information.
  • Assist the broader team as needed.
Reception
  • Operate a multi‑line switchboard and transfer calls.
  • Maintain a professional appearance of the reception area.
  • Greet clients and guests, and coordinate employee arrivals.
Mailroom & Documentation
  • Process and distribute incoming mail daily in line with firm procedures.
  • Manage incoming and outgoing packages.
  • Maintain office supply inventory, purchase and vendor escalation.
  • Receive all incoming mail, deliveries and coordinate courier scheduling.
Internal & External Catering
  • Schedule and assist with set‑up of conference rooms before and after meetings.
  • Manage food service inventory and develop menus.
  • Coordinate vendor relationships and place catering orders.
  • Keep shared colleague spaces and kitchens stocked, cleaned and organized.
Qualifications
  • 3+ years of administrative support experience.
  • Bachelor’s degree preferred.
  • Excellent client service skills.
  • Excellent tact, discretion and judgement with sensitive information.
  • Proficiency in MS Word, Excel and Outlook.
  • Superior written and oral communication.
  • Ability to set goals, meet deadlines and work evenings for event coverage.
  • Professional demeanor and highly organized, detail‑oriented.
  • Ability to work in the San Francisco office location.
Employment Eligibility

Applicants must be authorized to work in the United States without requiring current or future employer‑sponsored work authorization (e.g., H‑1B, O‑1, F‑1 (OPT), TN, or any other non‑immigrant visa that requires sponsorship).

Compensation

Salary: $60k – $90k, commensurate with experience and location. This does not include bonus or long‑term incentive eligibility.
