Administrative Assistant / Lab Support Coordinator

Contract Opportunity | 6 Months | Potential for Extension or Conversion

Full-Time | Monday–Friday | 8:30 AM–5:00 PM

Pay: $24–$26/hour

100% On-Site

We're seeking a proactive Administrative Assistant / Lab Support Coordinator who thrives in a fast-paced setting and enjoys balancing administrative responsibilities with hands‑on operational support. This role offers exposure to laboratory operations, vendor coordination, logistics management, and cross‑functional collaboration, making it an excellent opportunity for someone looking to build a long‑term career in operations, administration, or life sciences support.

What You'll Be Doing

As a key member of the team, you'll serve as an operational hub for laboratory and administrative activities, ensuring materials, documentation, and communications are managed accurately and efficiently.

Responsibilities include
  • Maintain and update records, databases, spreadsheets, and internal tracking systems with a high degree of accuracy.
  • Receive, log, and track incoming mail, scientific materials, and sealed packages while ensuring proper documentation and chain‑of‑custody procedures.
  • Monitor and maintain records of laboratory shipments, deliveries, and incoming inventory.
  • Assist with invoice processing, reconciliation, and administrative documentation.
  • Coordinate outgoing shipments through UPS, Fed Ex, and other carriers, including preparation of shipping kits and required paperwork.
  • Serve as a point of contact for vendors, couriers, and suppliers regarding shipments, inventory status, deliveries, and logistics.
  • Answer phones, respond to inquiries, and provide exceptional customer service to internal and external stakeholders.
  • Assist with special projects, process improvements, and department initiatives as assigned.
  • Help ensure compliance with organizational procedures, documentation standards, and operational protocols.
