Assistant to the VPs
Under the direction of the Head Assistant to the VPs, the Assistants to the VPs support VPs in the day-to-day activities of the office as well as helping with the preparation of committee/council meetings for the Board of Directors. A person in this role must have experience in a busy office environment and must be proficient in verbal and written communication with students and staff.
The VP Assistant must be able to work a minimum of 10 hours per week.
Essential Functions and Duties:
- Assist the VPs in the essential functions of their positions
- Posts agendas, takes minutes, update motion logs, and maintains files of all AS committees, councils, and assemblies
- Prepares the agendas, recorder, and/or Zoom video calls for upcoming meetings
- Maintains attendance records of committee/council members with the Chief of Staff
- Sustains the upkeep and organization of the Governance Drive
- Receives in-person and phone inquiries from students, staff, and university officials regarding AS and its programs & services and makes appropriate referrals
- Other duties and projects assigned by the Head Assistant to the VPs, Governance Specialist Assistant, and AED of Governance to further help the efforts and duties of the VPs and the Board of Directors
- Keeps up to date on AS programs and services as well as current projects to be able to receive in-person and phone inquiries from students, staff, and university officials and make appropriate referrals
Qualifications:
- Must be currently enrolled at SFSU with a minimum of 6 units for undergraduates or 4 units for graduates.
- Ability to organize, prioritize, and complete multiple assignments in a busy work environment with frequent deadlines
- Proficient in effective communication both verbally and in writing
- PC, Mac, and Google Drive literate
- Experienced in taking minutes for meetings a plus
- Knowledge/familiarity of SF University campus a plus
