Overview

The role provides key administrative support to the Enrichment Center and other Companioa Programs, requiring strong organization and proactive coordination to ensure efficient operations in a dynamic team environment.
Responsibilities- Primary duties include supporting the client referral to enrollment process, client records compliance, transportation management, supply management, and program coordination.
- Prospects, Tours & Enrollments: maintain knowledge of all dementia services to communicate Companioa programs accurately to referral sources, prospects, and visitors; receive all inbound calls to the Enrichment Center main line and respond within 1 business day; facilitate tours of the Enrichment Center for prospects and referral sources and conduct timely follow-up to identify next steps; proactively escalate enrollment barriers to the Director;
assist new clients/families with enrollment paperwork; ensure a successful transition to designated Companioa programs; assist in completing and submitting transit applications and supplemental documentation for new enrollees. - Client Records & Billing Management: maintain daily attendance logs with updates and client-specific notes; enter client status updates (enrollment, disenrollment, hold) into the electronic health record within 2 business days; maintain accurate records for funder and grant contracts; follow client file checklists to ensure files are complete and compliant with licensing; manage client rosters for Enrichment Center and Care Coaching programs;
provide enrollment/disenrollment information to the client health record and submit accurate attendance reports to the billing department; maintain monthly emergency rosters; collaborate with program liaisons at Veterans Administration, SF Department of Disability and Aging Services, and other grant/funders as needed. - Transportation: manage relationships with outside transit providers, assist clients with Paratransit enrollment, coordinate Group Van service requests, participate in stakeholder meetings; maintain transportation manifests for multiple providers; document unmet/untimely service in internal logs and communicate with vendors in real time.
- Supply & Vendor Management: coordinate meals with outside vendors to ensure accurate meal counts based on forecasted attendance; maintain adequate stock of program materials and supplies and replenish proactively.
- Other Duties: participate in daily team meetings to inform Enrichment Center staff of anticipated daily attendance and other visitor details; assist Program Director with audit readiness and ongoing monitoring tasks to ensure compliance with state licensing and service contracts; maintain knowledge of safety and emergency protocols to direct staff, clients, and visitors; support Enrichment Center programs including meals and activities as needed;
participate in Companioa and IOA meetings; perform other duties as assigned.
Bachelor’s degree or equivalent experience.
Background and Experience- Five years of program or administrative experience.
- Interest and ability to support older adults, particularly persons with dementia.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines.
- Ability to maintain effective relationships with a wide range of internal and external clients.
- Team player with excellent written and oral communication skills.
- Computer proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
Ability to lift 35 lbs; ability to reach, bend, and walk.
CompensationRange: $34 - $35.50/hour. This amount is not necessarily reflective of actual compensation and may vary based on experience, education, and other factors.
