Job Description Summary
Under direction of the Assistant Dean of Students, the Administrative Assistant III facilitates the daily activities of the San Francisco Peninsula Campus (SFPC) and serves all SFPC students, faculty, staff, and guests. This position supports all campus operations, including admissions, recruitment, student services, and academic programs.
Duties and Responsibilities- Administrative Support (60%) – Serve as first point of contact and representative of SMU; provide excellent service to faculty, staff, students, and guests; comply with regulations, policies, procedures, and guidelines, including those related to privacy, safety, and security; provide timely communication and information handling within the campus, among campuses, and to external parties; implement administrative procedures for office functions such as filing, record keeping, classroom/lab scheduling, inventory, compliance, and financial matters;
utilize online/electronic systems for administrative tasks; support university events; monitor and maintain supplies for the campus; assist with opening and closing the campus. - General Support (40%) – Assist faculty and staff with program-related activities such as arranging copying, creating and distributing documents for classes and school events; collaborate with University personnel to implement policies and procedures; provide services for recruitment, payroll, and personnel actions for faculty, staff, and student hires; perform other duties as assigned.
- Assist in budget development and preparation, generating supporting documentation for administrative activities.
- Promote positive interactions between faculty, staff, students, and public.
- Handle privileged information confidentially.
- Read and carry out instructions, including written and verbal.
- Use proper grammar, punctuation, and spelling.
- Perform basic mathematical calculations.
- Read and write memos and correspondence concisely.
- Organize and prioritize workload.
- Concentrate and tolerate interruptions by students and faculty.
- Communicate effectively and quickly, organizing thoughts clearly.
- Type and use word processing, shorthand, or tape dictation skills.
- Possess extensive computer experience on IBM/Windows platforms with Word, Excel, Access, and related software.
- High school diploma and formal secretarial training; associate degree preferred.
- Minimum of three years of experience as administrative support in a fast-paced, multi‑task environment requiring a high degree of accuracy and independent activity.

Location:
Foster City Campus – Onsite. This is an onsite position in Foster City, CA, requiring regular in‑office presence to support daily operations and collaboration. Work is performed primarily on campus in a dynamic academic environment, with direct interaction across multidisciplinary teams.
