Office Administrator/ Coordinator
Our client, a well-established life sciences consulting firm, is seeking a highly organized and personable Office Coordinator to support day-to-day office operations in their San Francisco location. This part-time role is ideal for someone who thrives in a fast-paced environment, enjoys being the go-to person for all things office-related, and has a strong attention to detail. Reporting to the Office Manager, this individual will play a key role in ensuring the office runs smoothly and provides a welcoming environment for employees and guests.
You would be on-site Monday, Wednesday, and Thursday.
Please note this is an on-site, part-time, temporary role based in San Francisco, CA. Pay will be $28-$30/hr.
Key Responsibilities:
- Greet and welcome clients, visitors, and staff with professionalism and warmth
- Notify staff of guest arrivals and/or escort visitors to meeting rooms
- Accept and set up catering orders as needed
- Receive and distribute incoming mail and packages
- Support onboarding for new hires in coordination with HR and IT
- Liaise with building staff and vendors for maintenance or facility updates
- Assist executive assistants with conference room set-up
- Maintain stock of kitchen supplies, snacks, coffee, and beverages
- Monitor and replenish general office supplies
- Coordinate with vendors and building teams for repairs, installations, and general upkeep
- Respond to requests submitted through the facilities ticketing system (e.g., Fed Ex labels, remote support for other offices, catering coordination)
- Assist with on-site event coordination, including logistics, catering, and AV setup
- Support the Office Manager with ad-hoc facilities projects and vendor research
Qualifications:
- Prior office administration experience preferred
- Proficient in Microsoft Office Suite
- Strong communication and interpersonal skills
- Proactive, organized, and detail-oriented
- Ability to multitask and work both independently and with various cross-functional teams
