Role Description

The Reception/Front Desk Coordinator is a full-time, on-site role based in San Francisco, CA. This position is responsible for greeting patients and visitors, managing check-in and check-out processes, and ensuring a welcoming and organized front desk environment. Day-to-day tasks include answering and directing phone calls, handling inquiries, scheduling and confirming appointments, and coordinating patient flow in collaboration with clinical staff. The Coordinator will also perform general administrative duties such as maintaining records, processing forms, managing correspondence, and updating patient information in practice systems.

This role requires consistent professionalism, clear communication, and attention to detail to support a high-quality patient experience.

Qualifications
  • Strong interpersonal skills with a patient-focused, professional, and courteous demeanor.
  • Proficient phone etiquette and experience managing multi-line phone systems and caller inquiries.
  • Experience with appointment scheduling, calendar management, and coordinating patient visits.
  • Knowledge of receptionist duties, including greeting visitors, routing messages, and managing front desk operations.
  • Administrative assistance skills such as document handling, data entry, and maintaining organized records.
  • Comfort with basic computer applications and practice management or scheduling software.
  • Ability to multitask, prioritize, and work accurately in a fast-paced clinical environment.
  • Prior experience in a medical or healthcare setting is required.
  • High school diploma or equivalent; additional training in office administration or healthcare support is a plus.
