Administrative Assistant

Schedule:

Full-Time, 40 hours/week

Position Overview

A professional services firm is seeking a detail-oriented Administrative Assistant to support its Tax Department. This role is ideal for someone who thrives in a fast-paced, deadline-driven environment and enjoys a combination of administrative, operational, and client-service responsibilities.

Responsibilities

  • Assemble and prepare tax returns, tax forms, correspondence, and client deliverables.
  • Provide document preparation, data entry, and Docu Sign support for the Tax Department.
  • Maintain accurate records and ensure timely processing of administrative tasks.
  • Assist with reception coverage and front desk support as needed.
  • Process incoming and outgoing mail, packages, and overnight deliveries.
  • Maintain office, kitchen, and supply inventories.
  • Support internal meetings, office events, and general office operations.
  • Handle confidential information with professionalism and discretion.

Qualifications

  • High School Diploma, GED, or equivalent required.
  • Bachelor's degree preferred.
  • Minimum of 3 years of administrative experience required.
  • Professional services, accounting, legal, financial services, or corporate office experience preferred.
  • Advanced proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Experience with Docu Sign and database systems preferred.
  • Oracle experience is a plus.
  • Strong attention to detail and organizational abilities.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities in a deadline-driven environment.
  • Strong customer service skills and professional demeanor.
  • Ability to work independently while collaborating effectively with all levels of staff and clients.
  • Proven ability to maintain confidentiality and exercise sound judgment.
  • Process improvement mindset and willingness to assist wherever needed.
