Chosen Advisory Group is a highly successful, growth-oriented wealth management firm seeking a proactive, highly organized Client Experience Manager to serve as the operational right-hand to the firm's Founder. This individual will play a pivotal role in delivering an exceptional client experience while ensuring the Advisor and broader team operate efficiently and effectively.
This position blends executive support, client service, project management, meeting coordination, and marketing administration into one highly impactful role. The ideal candidate thrives on creating order from complexity, anticipates needs before they arise, communicates with professionalism, and enjoys serving as the central hub that keeps a growing team aligned and moving forward. This role has significant growth potential as the firm continues to expand.
Key ResponsibilitiesExecutive & Administrative Support
- Manage the Advisor's calendar and scheduling
- Monitor and organize email communications, prioritize responses, and delegate action items
- Coordinate business and personal travel arrangements
- Anticipate leadership needs and proactively remove administrative obstacles
- Manage special projects from conception through completion
- Serve as CRM champion and ensure client records, workflows, tasks, and reporting remain accurate and current
- Identify opportunities to improve efficiency through process documentation, automation, and work flow optimization
Team Coordination & Project Management
- Organize and facilitate weekly and quarterly team meetings
- Prepare agendas, meeting materials, record notes, and track action items
- Coordinate follow-up to ensure projects stay on schedule
- Help leadership maintain visibility into priorities and deadlines
Marketing & Client Experience
- Serve as the primary liaison with the firm's marketing partner
- Serve as the primary administrative point of contact for client service needs and coordinate appropriate follow-up with advisory team members
- Coordinate marketing requests, timelines, and deliverables
- Support monthly educational webinars, client appreciation events, and gifting initiatives
- Assist with client communications, event logistics, and market campaigns
- Help execute initiatives that strengthen client engagement and support firm growth
- Answer incoming client calls and deliver an exceptional client experience
- 5+ years of experience in executive support, client service, operations, project coordination, or office management
- Experience supporting Executives or Financial Advisors within wealth management financial services, or another professional services environment
- Exceptional organizational skills with meticulous attention to detail
- Ability to manage multiple priorities while maintaining accuracy and professionalism
- Excellent written and verbal communication skills
- Strong meeting management and project coordination abilities
- Ability to handle confidential information with discretion
- Experience coordinating events, client communications, or marketing initiatives
- Proficiency with Microsoft Office, Zoom, and CRM systems
- A proactive, resourceful self-starter with a collaborative, service-first mindset
This position is employed by the sponsoring financial advisor's practice, not by Northwestern Mutual. Employment is at-will. The associate operates under the direction and supervision of the sponsoring advisor and, for registered activity, the assigned registered principal, and must comply with all Northwestern Mutual privacy, compliance, and supervision policies.
