De Marillac Academy seeks a talented and committed team member to provide a welcoming experience for all who connect with our mission. The Student Service Center Coordinator has the primary responsibility for reception, office management, school records, and offering administrative support. They also work closely with the administrative team and the Director of Student and Family Services to support the daily operations and administration of the school.
The Student Service Center Coordinator works closely with and reports to the Principal. Responsibilities are as follows:
- Greet and provide a warm welcome to staff and students, families, guests, volunteers, and community partners.
- Oversee/manage operation of Student Service Center, including training and managing staff and volunteers performing functions in SSC, including phone calls, the arrival and reception of students, families, guests and volunteers in the Student Service Center; processing and distributing incoming and outgoing mail;
- Checks notes from parents/guardians/physicians and makes follow‑up calls on attendance matters.
- Maintain a clean and orderly environment in the Student Service Center.
- Oversee the “first aid” policies for administration of care to students with minor injuries. supervision policy of students who take medication regularly and maintain paperwork for those students.
- Assist in emergency drills in facilitation, keeping records, and communicating with faculty/staff.
- Manage and update bulletin boards in the Lobby area.
- Oversee and audit that attendance is taken on a daily basis and follow up with faculty and administration.
- Keep faculty and administration apprised of any problems or non‑routine reasons for student absence or tardiness.
- Maintain and generate attendance reports, registrar reports, Report Cards, Progress Reports, when needed.
- Maintain permanent /cumulative files and records for each student, with up to date information, grades, medical documents, dietary information, etc.
- Maintain student and family data, including emergency contacts, in various softwares, including Alma, Mail Chimp, Sign‑Up Genius, etc..
- Coordinate, prepare, and disseminate materials for mailings to the school community on behalf of the administration team.
- In partnership with school administration and leadership, coordinate school calendar and relevant faculty and student events including but not limited to Parent Teacher Conferences, Trimester Awards ceremonies, Main DMA, staff lunches, etc.
- Assist in regular communication to families via email, phone and mailing regarding attendance, schedule updates, conferences, etc.
- Schedule appointments for the administration team; and assist in translation, as needed.
- Assist the Principal with internal and external communications, including the Thursday folders and monthly newsletter.
- Assist Principal with filing needs, maintain and develop (as necessary) front office files.
- Assist the Principal in the editing, preparation and execution of the yearly Student/Family Handbook, Faculty and Staff Handbook and Calendar.
- Assist administration in preparing bilingual school surveys for internal and external use.
- Communicate on behalf of administration team members as needed.
- Translate documents from English into Spanish as needed.
- Assist with applicant in‑take forms.
- Assist in the collection and submission of required academic and financial documents for admissions and enrollment.
- Direct all inquiries to the admissions team.
- Familiarize oneself with charisms of De La Salle Christian Brothers and the Daughters of Charity.
- Attend appropriate workshops for professional improvement and growth.
- Familiarize oneself with goals and policies of De Marillac Academy.
- Complete other tasks as assigned by the Principal.
- Must be able to communicate in Spanish (verbal, written, and translation).
- Proficient in Microsoft 365 products, and Google Suite.
- Requires some long hours working at the computer.
- Passionate commitment to social justice and educational equity.
- Openness to embracing and promoting the Lasallian Vincentian mission and identity of De Marillac Academy.
- Strong interest in building community and fostering relationships.
- Some evening and weekend responsibilities.
- Ability to lift 30 pounds.
- This is a fully in‑person position.
- Experience working with youth and families
- Knowledge of Alma, Salesforce, Canva
- Bachelor’s Degree or equivalent professional experience
- Three or more years of experience in an office or school office setting.
- Familiarity with CRM database (Salesforce preferred)
Salary ranges from $25-30/hour based on qualifications and experience. A comprehensive benefits package is provided, including a transportation stipend. Other incentives include spiritual formation opportunities and year‑long professional development.
