The Role:The Family Office Client Service Associate serves as a key point of contact for high-net-worth and ultra-high-net-worth families, delivering exceptional service and operational support across a broad range of family office activities. This role partners closely with Wealth Advisors, Family Office Advisors, clients, and external professionals to coordinate financial, administrative, and strategic initiatives while ensuring a seamless client experience.
The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing complex client relationships, multiple priorities, and sensitive information.
This position will be part of our San Francisco team and the ideal candidate will live in the Bay Area. This is a hybrid role that requires in-office presence Monday-Wednesday.
Key Responsibilities:Client Relationship Management
- Serve as a primary service contact for Family Office clients and their trusted advisors.
- Develop and maintain strong client relationships built on responsiveness, professionalism, and trust.
- Proactively anticipate client needs and coordinate timely follow-up on service requests.
- Support and participate in client meetings, including preparation of meeting materials and follow-up action items.
- Coordinate with attorneys, CPAs, trustees, insurance professionals, bankers, and other third-party providers.
- Assist with entity administration, trust administration support, and document organization.
- Facilitate client requests related to cash management, private investments, real estate holdings, charitable entities, and special projects.
- Monitor and coordinate family office deliverables, deadlines, and ongoing initiatives.
- Support account opening, transfers, maintenance, and ownership updates.
- Assist with money movement requests, distributions, capital calls, and liquidity planning.
- Maintain accurate records of client assets, liabilities, entities, and key relationships.
- Coordinate collection of documents required for tax, audit, estate planning, and financial reporting purposes.
- Assist with the preparation and delivery of consolidated net worth reports and family office reporting.
- Coordinate data gathering from custodians, private investments, real estate assets, and outside institutions.
- Maintain family office records, reporting schedules, and client documentation.
- Ensure complete and accurate documentation within CRM and firm systems.
- Manage multiple client service requests simultaneously while meeting established deadlines.
- Track client action items and oversee follow-through across internal and external stakeholders.
- Identify opportunities to enhance processes and improve the client experience.
- Ensure compliance with firm policies, procedures, and regulatory requirements.
- Maintains proactive communication with internal and external stakeholders
- 3+ years of client service, operations, family office, wealth management, trust administration, or related experience.
- Experience supporting high-net-worth or ultra-high-net-worth clients preferred.
