We are seeking an organized, proactive, and dependable Facilities Department Coordinator to support day-to-day facilities operations. This position is ideal for someone with experience in facilities coordination, office management, administrative operations, vendor coordination, maintenance requests, and workplace support
.
The Facilities Department Coordinator will serve as an important point of contact for facilities-related needs, helping ensure maintenance requests, vendors, supplies, work spaces, and administrative activities are coordinated efficiently.
Key ResponsibilitiesCoordinate daily facilities and administrative operations.
Receive, track, and follow up on maintenance and facilities service requests.
Coordinate scheduling with vendors, contractors, maintenance personnel, and internal departments.
Assist with office moves, workstation setup, desk assignments, and workspace changes.
Monitor facilities requests and ensure issues are addressed in a timely manner.
Maintain organized facilities records, documentation, service information, and reports.
Coordinate ordering and inventory of office and facilities supplies.
Assist with vendor communications, purchasing, invoices, and related documentation.
Support meeting, event, and room setup as needed.
Communicate facilities updates and scheduling information to employees and appropriate departments.
Help identify operational issues and coordinate appropriate solutions.
Support workplace safety, cleanliness, organization, and general facility readiness.
Provide general administrative and project coordination support to the Facilities Department.
QualificationsPrevious experience in facilities coordination, office management, workplace operations, property/facilities administration, or a similar administrative role
.
Strong scheduling, organizational, and follow-up skills.
Experience coordinating with vendors, contractors, service providers, or maintenance teams preferred.
Comfortable managing multiple requests and priorities in a fast-paced environment.
Strong written and verbal communication skills.
Proficiency with Microsoft Office, Google Workspace, or similar business applications.
Strong attention to detail and record-management skills.
Ability to work effectively with employees, vendors, management, and cross-functional teams.
Reliable, professional, and proactive approach to problem-solving.
Ideal CandidateThe ideal candidate has a strong combination of facilities knowledge and administrative coordination experience
. Someone who has worked as a Facilities Coordinator, Facilities Assistant, Office Manager, Workplace Coordinator, Operations Coordinator, Administrative Coordinator, or Property/Building Coordinator could be an excellent fit.
