Under the direct supervision of the Clubhouse Director and Assistant Clubhouse Director, the Administrative Assistant provides essential operational and administrative support at the Columbia Park Clubhouse. This role drives core front desk operations, precise data tracking, and general administrative coordination to ensure a welcoming, organized, and efficient environment for members, families, and staff.
- Front Desk Operations & Family Support
- Serve as the primary point of contact for members, families, volunteers, and visitors, creating a warm, organized environment.
- Oversee daily check-ins, issue membership cards, handle guest registrations, and manage incoming phone calls, voicemails, and emails.
- Conduct parent orientations, collect membership fees, and ensure the lobby displays accurate, up-to-date BGCSF materials.
- Data Management & Record Keeping
- Enter and track member data, attendance, food program paperwork, and volunteer and teen work experience hours with high accuracy.
- Establish reliable processes for staff data submission and proactively troubleshoot errors.
- Communicate system updates and data quality reports regularly to site leadership.
- Administrative & Leadership Support
- Manage the Clubhouse Director's calendar, schedule meetings, and draft administrative correspondence.
- Facilitate clear communication across Clubhouse staff, BGCSF headquarters departments, community partners, and families.
- Compile monthly Clubhouse reports and assemble documentation as required.
- 2–5 years of administrative or equivalent operational experience
- Bilingual fluency in Spanish
- Proven data entry skills with strong attention to detail and accuracy
- Customer service experience—professional, personable, and capable of resolving minor conflicts calmly
- Proficiency in Microsoft Office Suite and Google Workspace (especially Excel and Sheets)
- Ability to manage multiple priorities in a fast-paced environment
- Experience working with youth and communicating effectively with families and staff
- Red Cross First Aid/CPR certification (or willingness to obtain within 90 days)
- Proficiency in design tools such as Canva, Adobe Publisher, or Photoshop
- Must be able to lift 25 lbs.
- Must be able to stand for at least 2 hours consecutively.
- Must be able to sit at a computer workstation for long periods of time.
