We're looking for a resourceful and proactive Office Manager to be based in our San Francisco office. You'll own the day-to-day running of the workplace, from facilities and vendor management to procurement, logistics, and cross-functional administrative support, keeping everything behind the scenes running without a hitch. You’ll also assist the on-site HR management in coordination with headquarters, as needed.
This role goes beyond typical office administration. You'll also have the opportunity to support overseas project operations, coordinate with headquarters, and help create an environment where the team can do their best work. It's a great fit for someone who takes ownership, thrives on variety, and knows how to get things done in a fast-moving startup.
What You'll Do- Manage daily administrative operations for the office, including office environment maintenance, office supplies procurement, asset management, and vendor management
- Coordinate facility operations, liaise with building management, handle maintenance requests, manage office access, and support a safe and functional workspace
- Coordinate client reception, team-building activities, and company events
- Assist with on-site HR management, employee onboarding and offboarding procedures
- Support overseas project operations including procurement coordination, logistics, and contract and invoice management
- Liaise with headquarters on local compliance, documentation submissions, and cross-border administrative coordination
- 3–5 years of experience in an office management, administrative, or operations coordinator role
- Familiarity with California workplace regulations, including safety compliance (Cal/OSHA) and local business requirements
- Experience in managing office vendors, processing invoices, and tracking contracts
- Strong organizational and multitasking skills with high attention to detail
- Clear and professional written and verbal communication
- Ability to manage multiple tasks simultaneously and proactively identify and solve problems
- Proficiency with Google Workspace and/or Microsoft Office
- Experience supporting overseas operations or cross-border logistics and procurement
- Prior experience in a tech startup or fast-growth environment
