Under general supervision, provides Office Services functions such as hospitality, conference room upkeep, as well as front desk coverage. This is a full time/non-exempt position based in San Francisco. The position will report to the Director of Office Operations.
ESSENTIAL JOB FUNCTIONSEssential functions include reliable attendance; a professional appearance; and frequent schedule adjustments in order to accommodate events, including overtime.
Responsibilities- Stay on top of the various meetings and events at the firm and ensure that set-ups are refreshed as needed, including contacting Coffee Attendants as needed regarding clean-up of conference rooms.
- Keep a flexible schedule to provide evening coverage for after-hours events, including bartending duties as well as clean-up and reconfiguration of conference rooms
- Provide front desk coverage when someone in the Concierge group is out.
- Work closely with the Concierge group to obtain necessary details regarding meetings and events. Coordinate with other Office Services staff as needed regarding set-ups and catering needs
- Work cooperatively with the Receptionists and other Office Services Department staff, and provide back-up assistance to others as needed.
- Log and track outgoing packages in accordance with office procedures.
- Log incoming packages in the firm’s Package Tracking program.
- Assist internal customers by suggesting shipment options, checking rates, and preparing shipments.
- Process incoming and outgoing electronic faxes
- Greet customers, answer telephones, and provide information relative to department procedures and services.
- Assist other departments with special projects, such as large mailings and document preparation.
- Other duties as assigned
- A high school diploma or equivalent work experience is required.
- At least one year of office experience is required; prior law firm or hospitality industry experience is desirable.
- Strong customer service skills, initiative, and attention to accuracy
- Effective communication skills, both written and oral
- Computer proficiency for data entry, Microsoft Outlook, and Excel
- Strong organizational skills, interpersonal skills, and reliability
- Ability to work both independently and collaboratively as part of a team
- Ability to work under pressure in a fast-paced environment and to act quickly while remaining calm and polite
- Ability to adapt to a changing environment
While performing the duties of this job, the employee is regularly required to use a telephone, computer keyboard and mouse; reach with hands and arms; talk and listen. The employee is frequently required to sit and walk, as well as to lift and move objects such as packages, boxes and furniture weighing up to 50 pounds. The employee is occasionally required to stand, stoop or kneel.

The hourly rate is $26.67–$28.72, commensurate with experience and qualifications.
