We are looking for an organized, energetic, and detail-oriented Business Office Assistant to join our administrative team.

Job Summary

As the Business Office Assistant, you will play a crucial role in maintaining the smooth operation of our facility's business office. You will assist with a variety of administrative financial tasks, including accounts receivable, payroll support, billing inquires, and resident trust fund management. This role requires excellent organizational skills, a strong knack for numbers, and a compassionate approach to communicating with residents and their families.

Key Responsibilities
  • Billing & Collections:
    Assist the Billing and Collections Manager with data entry, preparing invoices, tracking account balances, and following up on private pay, Medicare, and Medi-Cal claims.
  • Accounts Receivable & Payable:
    Process daily cash receipts, log payments, and manage documentation for facility invoices and vendors.
  • Resident Accounts:
    Maintain accuracy for resident financial folders and oversee the safe handling and balance reporting of the resident trust fund.
  • Reception & Administrative Support:
    Answer incoming business office calls, address administrative inquiries from families or insurance providers, and maintain clear digital and physical filing systems.
  • Compliance & Reporting:
    Assist in preparing financial files for internal tracking and state audit requirements.
Qualifications & Skills
  • Experience:

    1–2 years of experience in a business office, accounting clerk, or administrative assistant role. Experience in a healthcare facility, skilled nursing facility (SNF), or post-acute setting is highly preferred.
  • Education:

    High school diploma or equivalent required; an Associate’s degree in business administration, accounting, or finance is a plus.
  • Technical

    Skills:

    Proficiency in Microsoft Office Suite (especially Excel) and experience with electronic healthcare billing platforms (e.g., Point Click Care ) is strongly favored.
  • Core Competencies:

    Strong attention to detail, numerical accuracy, clear communication, and the ability to maintain a high level of confidentiality.
