REPORTS TO:

SVP Festival & Venue Operations POSITION OVERVIEW

The Operations Coordinator supports operational excellence across all Another Planet venues and events. This role serves as a central point of coordination, communication, and continuity for the Operations department, balancing administrative support, on-site leadership, and cross-departmental collaboration.

DUTIES & RESPONSIBILITIES General Operations
  • Foster operational continuity and consistency across all Another Planet venues.
  • Host and coordinate weekly Operations Department and General Manager meetings to align procedures and priorities across venues.
  • Serve as a trusted Operations representative, maintaining regular presence at APE HQ and on-site as needed.
  • Act as a key point of contact for Operations-related inquiries, requests, and ongoing projects.
Communication & Coordination
  • Ensure Operations department goals, timelines, and expectations are clearly communicated and understood across departments.
  • Translate operational needs and decisions into actionable information for internal stakeholders.
  • Provide regular status updates on Operations initiatives and requests.
Customer & Promoter Relations
  • Serve as the first point of contact for clients and internal team members regarding Operations-related needs or issues.
  • Represent the Operations team professionally and positively, reinforcing Another Planet standards and culture across venues & festival sites.
  • Schedule and organize departmental meetings, training, and internal events.
Systems, Processes & Administration
  • Support the development and maintenance of digital systems, workflows, and internal processes across departments.
  • Coordinate with teams on project management, resource management, procedures, and controls to improve communication and information flow as the company grows.
  • Provide comprehensive administrative support to the Operations team.
Venues & Events
  • Act as Lead Operations Manager for shows and events at ancillary venues (approximately 800–1,500 capacity).
  • Assist with on-site operations for city concerts and other non-venue ticketed events across Bay Area locations.
  • Provide administrative support for city concerts and non-venue events, including vendor riders, contracting, payroll coordination, and related documentation.
  • Create and maintain staff guides, emergency plans, and other operational documentation as needed.
  • Liaise with Guest Services and Ushers to ensure exceptional guest experiences and adherence to Another Planet standards.
Data & Reporting (Preferred)
  • Support basic data analysis and reporting related to operations, staffing, budgets, or event outcomes to help inform decision-making and improve efficiency.
  • Identify trends, gaps, or opportunities within operational data and share insights with leadership as appropriate.
Abilities

Required:
  • Excellent interpersonal skills, highly organized
  • Multitask in a busy, loud environment
  • Ability to work long hours & weekends with various personality types
  • Must be able to think and react quickly and creatively in unique situations requiring professionalism and composure
  • Working knowledge of venue operations
  • Must maintain professionalism, courtesy and discretion around touring artists
  • Previous venue and house management experience
  • Proficient in Microsoft Suite, Google Suite, Adobe Suite, Dropbox & Airtable
  • (photoshop & illustrator preferred but not required)
