Position Summary:
We are seeking an experienced and proactive Office Operations Manager to join our dynamic team in San Francisco. This full-time, onsite role is a contract (VMS) position designed to optimize the physical workspace, ensure seamless vendor coordination, and support a range of facilities and event operations. As a key operational partner, you will play a vital role in maintaining a welcoming, efficient, and compliant environment that fosters collaboration and productivity.

This position offers a unique opportunity to lead process improvements, coordinate onsite services, and contribute to a thriving corporate culture while working closely with cross-functional teams.

Key Responsibilities:

  • Vendor Coordination & Site Readiness: Serve as the primary onsite contact for external janitorial and porter vendors. Conduct daily walkthroughs to maintain high standards of cleanliness and operational readiness, and monitor service level agreements (SLAs), escalating issues when necessary.
  • Workplace Process Improvements: Develop and maintain detailed documentation of daily operations for consistency and continuity. Streamline workflows related to facilities management, ticketing systems (e.g., Jira), and inventory control, leveraging AI tools to improve administrative efficiency.
  • Space & Asset Optimization: Continually assess and optimize space utilization supporting hybrid work models and future planning initiatives. Ensure effective deployment of resources and space configurations.
  • Facilities Metrics & Reporting: Track and analyze operational data such as ticket resolution times, occupancy rates, and service performance to facilitate data-driven decisions and continuous improvement.
  • Event & Meeting Support: Coordinate onsite logistics for meetings, town halls, executive visits, and company events. Collaborate with global events teams and local POCs to manage seating, catering, building access, and physical setup requirements, ensuring seamless event execution.
  • Safety & Compliance: Interface with security, legal, and facilities teams to support safety drills, emergency procedures, and compliance standards.
  • Facilities Operations & Site Maintenance: Oversee day-to-day janitorial and facilities services, ensuring quality standards and addressing operational issues efficiently.

Required Qualifications:

  • Minimum of 5+ years of experience in facilities coordination, corporate operations, or related fields within fast-paced environments.
  • Proven experience managing external vendors, particularly janitorial, facilities, or catering services.
  • Strong analytical skills with the ability to identify operational inefficiencies and implement practical solutions.
  • Excellent interpersonal and communication skills, capable of working effectively with cross-functional teams and vendors.
  • Proficiency with Google Workspace, ticketing systems (such as Jira), and event management tools.
  • Demonstrated ability to manage multiple projects simultaneously with attention to detail.

Preferred

Skills & Experience:

  • Experience leveraging AI and automation tools to streamline administrative workflows.
  • Background in space planning, hybrid workspace optimization, and facilities management.
  • Familiarity with safety protocols, emergency response procedures, and compliance standards.
  • Strong project management skills, with a focus on process improvement and operational excellence.
