Over the next year, as we quickly ramp up, the Foundation expects to invest at least $1 billion across life sciences and curing diseases, jobs and economic impact, AI resilience, and community programs. This includes early investments toward our previously announced $25 billion commitment to curing diseases and AI resilience.
About the roleThe Executive Assistant will be a proactive and adaptable partner to the Foundation’s leadership, managing complex scheduling, coordinating projects, and optimizing workflows. This role requires independence, task-level ownership, and a deep understanding of the OpenAI Foundation’s mission to foster AGI that benefits humanity. The ideal candidate is comfortable with ambiguity, rapidly-evolving priorities, and can drive best practices to help scale exec and team operations.
This role is based in San Francisco, CA and will require 3-days a week in office. Relocation assistance to new employees is available.
In this role, you willBuild strong connections within the team, becoming a trusted partner to leaders. This includes an understanding of team dynamics, priorities, and stakeholders, facilitating seamless coordination on high-stakes work streams
Excel in sharing information clearly and efficiently, adapting communication styles for a broad range of audiences
Balance the calendars and priorities of multiple leaders, demonstrating prioritization skills and agility in adapting to shifts in priorities, while maintaining accuracy and meeting deadlines
Operate with discretion and independence, proactively optimizing processes and flagging risks, while ensuring sensitive information is handled with care
Partner with leadership on aspects of the recruitment process, especially while the Foundation does not have a dedicated recruitment function
8+ years of experience in an executive support role
Supported multiple leaders with complex and highly cross-functional teams
Genuine interest in the transformative potential of AI, especially how it can be utilized as an executive assistant
Worked directly with teams in a high-growth startup, or similar environment
Managed and optimized extremely busy calendars
Extreme attention to detail - it’s not a personality trait but an exercised functional skill e.g. mastery of project-based tools; tracking near-/long-term deliverables
Exceptional communication skills - being able to tailor a message appropriate to a specific audience (writing an email to a customer vs. an exec)
Professionalism and discretion - you understand the balance between transparency and confidentiality
