A well-established construction organization is seeking an Assistant Project Manager to support the successful execution of multiple active projects. This position works closely with Project Managers, Superintendents, accounting personnel, subcontractors, architects, consultants, and ownership teams to keep project documentation, schedules, costs, and closeout requirements organized and moving forward.

Job Details

The Assistant Project Manager will provide project coordination and administrative support across multiple construction projects. The position will help maintain project documentation, manage submittals and RFIs, track change orders, support subcontractor billing, assist field personnel, and coordinate project closeout activities.

Success in this role requires strong organization, attention to detail, deadline management, and the ability to move between competing project priorities throughout the day.

Key Responsibilities
Partner with Project Managers to prepare, maintain, and distribute weekly project documentation, including submittal logs, RFI logs, and change order logs.
Review contract documents and project drawings to identify required submittals and documentation.
Coordinate and manage the submittal process from initial preparation through review, approval, distribution, and final documentation.
Attend owner, architect, and contractor meetings as needed and prepare accurate meeting minutes and follow-up documentation.
Review project drawings, specifications, and related documents to support project coordination.
Assist Project Managers in identifying potential cost or schedule impacts resulting from owner, architect, consultant, or subcontractor requests.
Prepare, process, track, and distribute subcontractor change orders.
Maintain organized records of project correspondence, approvals, pricing, and supporting documentation.
Support the creation and maintenance of project billing schedules.
Request, collect, review, and track monthly subcontractor invoices.
Coordinate project closeout requirements, including warranties, operation and maintenance manuals, as-built documentation, and other required deliverables.
Provide field teams with requested documentation and project information.
Communicate regularly with subcontractors and internal project stakeholders regarding outstanding documentation and deadlines.
Assist with project reporting, schedule updates, document control, and administrative coordination.
Provide peer training and procedural support when needed.
Contribute to a collaborative and accountable workplace through professionalism, responsiveness, and a positive approach.

Qualifications
Three to five years of experience within the construction industry.
Previous experience supporting construction projects in a Project Engineer, Project Coordinator, or Assistant Project Manager capacity is preferred.
Working knowledge of RFIs, submittals, change orders, project documentation, and construction closeout processes.
Ability to read and develop a practical understanding of project drawings and specifications.
Proficiency with Microsoft Office Suite.

Experience with Microsoft Project or comparable scheduling software.
Strong written and verbal communication skills.
Ability to manage deadlines and shift between multiple projects and priorities.
High level of organization, accuracy, and attention to detail.
Professional communication style when working with internal teams, subcontractors, consultants, architects, and clients.
Ability to work effectively in both office and active project environments.
