Client Relationship Management, Customer Service Rep
You have sat face-to-face with a family and understood that the truthful answer was no. Delivering it came at a cost: a metric, a supervisor's buy-in, a sales credit. In this role, that answer is your responsibility.
Alpha operates as a private K-12 school network. Students complete core academics in roughly two hours daily and dedicate the remainder to building practical skills—and the performance data validates the approach. This is an on-site position at a single campus, in person every day, located in one of 12 markets:
Los Angeles, Santa Barbara, La Jolla, or Malibu, CA;
Austin, TX;
Atlanta, GA;
Boca Raton, FL;
Boston, MA;
Chicago, IL;
Greenwich, CT;
Nashville, TN; or Park City, UT. Indicate your preferred market in your application.
Families pay a premium for the experience, conduct thorough due diligence, and pose challenging questions about academic rigor and standards within the first ten minutes. The model functions only when enrolled families genuinely align with its purpose. In a small cohort, even one misaligned family changes the dynamic for everyone.
You will oversee your campus's entire admissions process. Initial inquiry, alignment conversation, campus visit, shadow day, enrollment decision—you are the point of contact that family interacts with from inquiry to the child's first day. A typical week may include: responding to every inquiry within four hours, guiding a doubtful father through the afternoon programming, coordinating a shadow day, documenting everything in Hub Spot, and calling a family to explain that their child would thrive better elsewhere.
You will manage 20 or more families at varying stages concurrently. You make the fit determination, and you communicate the outcome, in person, in your own language.
The network is expanding, and the operational playbook evolves with it. Those who establish success in a market create the FAQs, define the fit standards, and set the benchmarks inherited by the next campus—and they become the trusted names that affluent families in their city share with one another.
This is an on-site position at one campus, in person, every day. The profiles that excel in this work: admissions and enrollment leaders from competitive schools; high-value consumer closers whose clients were families, such as luxury real estate professionals, private client advisors, or premium practice operators; and hospitality and private service leaders who have delivered white-glove experiences to discerning clients.
What You Will Be Doing- Overseeing the enrollment experience for every prospective family, from initial inquiry through onboarding, and conducting a genuine needs assessment before presenting any offer.
- Managing 20 or more families concurrently, responding to every inquiry promptly and reviewing applications each day.
- Facilitating campus tours, open houses, information sessions, and shadow days that clearly communicate who this program serves and who it does not.
- Making the admission or decline recommendation and personally delivering the decision to the family.
- Maintaining Hub Spot and the student information system (SIS) after each interaction, utilizing AI tools such as ChatGPT or Claude for preparation and summaries, and reporting pipeline status to leadership weekly.
- Pursuing enrollment numbers. A family who enrolls and exits represents a worse outcome than a family you declined upfront.
- Having your fit assessment overridden to preserve a relationship or achieve a yield goal.
- Following scripts, running call campaigns, or offering discount-driven closes.
- Transferring families through a chain of coordinators, or awaiting committee approval for standard communications.
- Conducting amenity-focused tours that avoid difficult questions.
