After-School Program Coordinator (School Year calendar) Summer Program Coordinator

The After-School and Summer Program Coordinator reports directly to GPAS Program Director and works closely with the School Principal. The primary responsibility is to provide on-site management leadership. Tasks include, but are not limited to, facilitating all nonacademic program grant reporting requirements, monitoring and overseeing program staff, assuring safety and supervision of all students, managing the programs and staff schedules, overseeing facility management and maintaining positive relationships between the programs, school, parents/families, CBO and funding agencies.

  • Manage day-to-day operations and activities of the programs
  • Oversee after-school/summer staff and be involved in the initial screening and recommendation for staff. Plan and facilitate appropriate staff orientation and professional development training
  • Assure safety and supervision of children at all times by maintaining a 20:1 ratio of students to adults and enforcing program policies
  • Ensure that classrooms and other shared spaces are respected and treated appropriately
  • Oversee students’ behavior and complete all necessary reporting of any incidents in a timely manner
School Community-Program

Collaboration:
  • Review program needs and granting requirements periodically with Program Director, Principal and SFArtsED executive director
  • Develop and maintain a high level of communication and positive relationships with in-school and after-school and SFArtsED staff
  • Develop and maintain positive parent /family relations
  • Provide parent /family orientation
  • Update and distribute program parent handbook aligned to school-wide behavior expectations and approved by principal
  • Inventory all equipment before the start of the program in August and after the programs conclude in July
  • Ensure the facilities are secure and that appropriate signage, approved by the Principal, enforces safety and accessibility
  • Maintain open communication and strong relationships with the school community demonstrated by periodic meetings with school principal, teacher meetings and parent/family meetings
Program Administration Functions:
  • Oversee daily attendance as outlined by CBO and funders
  • Serve, monitor and document snacks for participating students
  • Keep accurate staff timekeeping log-in and hours
  • Participate in all required ExCEL program coordinator meetings
  • Order lunch and snacks in compliance with ExCEL and SFUSD guidelines
  • Input monthly attendance and snack report into EMS Management System on or before the 5 th of each month that the program is in operation
  • Fulfill all nonacademic grant requirements including, but not limited to:
  • Assignment of students to program in cooperation with principa
  • Timely input and maintenance of updated student lists
  • Timely input and maintenance of updated staff lists
  • Maintenance of after-school and summer students’ records such as emergency informatio
  • Approve staff timekeeping log-in hours and program invoices
  • Maintain after-school and summer program schedule and modify as needed
  • Complete and submit SFUSD Facilities Permit with Principal for use of site
  • Conduct assessments and surveys
  • Participate in school-wide committees as recommended by the Principal (SSC/Leadership Team/ CCT/SAP/PTO. etc)
