The Venue Operations Coordinator supports special events across Metro Events’ San Francisco and Oakland venues by partnering with clients, vendors, and internal teams to ensure a smooth, safe, and successful experience. Direct venue or event operations experience is helpful but not required; training will be provided for a motivated candidate who is organized, dependable, customer-focused, and eager to learn. This is an on-site role across our San Francisco office and Oakland venues;
reliable commuting is required.
- Supports on-site event operations, coordinating logistics with clients, vendors, and terminal staff.
- Develops and distributes event documentation, including security maps, staffing schedules, manifests, and post-event reports.
- Helps monitor client and vendor compliance with Metro Events’ policies and procedures.
- Coordinates with Terminal Manager to ensure venues are event- and cruise-ready before and after each event.
- Coordinates vendor scheduling for janitorial, security, Wi-Fi, and debris services.
- Conducts venue site visits with clients and internal stakeholders to assess event needs.
- Communicates with prospective clients and follows up on event inquiries.
- Helps orient new team members to venue procedures once established in the role.
- Maintains and updates the Metro Events’ calendar to align with cruise schedules and event bookings.
- Assists with permit applications and supports coordination with government agencies, the Port of San Francisco, and other regulatory bodies, with guidance from the Operations Manager.
- Ensures availability during all event rental hours and additional hours as needed.
- Adheres to Metro Events’ conflict of interest policies and maintains professional integrity.
- Demonstrates flexibility in responding to evolving event requirements and operational priorities.
- Maintains open availability that varies with the events schedule, and hours may include early mornings, evenings, weekends, holidays, and extended shifts.
- Travels regularly between San Francisco and Oakland to support venue operations and event execution.
- Other duties as assigned by supervisor.
Required:
- Experience: Interest in venue management, logistics, hospitality, or client service. Related experience may include professional work, internships, volunteering, education, or community involvement.
- Education: Associate’s degree or higher in Business Administration, Hospitality, Communications, Marketing, or related field.
- Licenses: Valid driver’s license and access to a reliable, insured personal vehicle.
- Knowledge:
- Microsoft Office Suite (Word, Excel, Outlook).
- Skills:
- Strong verbal and written communication skills.
- Detail-oriented with strong organizational and follow-through skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong customer service, problem-solving, and professional judgment.
- Ability to work collaboratively with internal teams, vendors, clients, and other stakeholders.
- Dependable, adaptable, and willing to learn through hands-on training.
Preferred:
- Additional Experiences:
- 2 years' experience in event operations, venue management, hospitality, logistics, or customer-facing coordination.
- Experience coordinating with port authorities or cruise operations.
- Certifications: Event planning or project management certifications.
- Knowledge:
- CRM systems
- Event logistics and venue operations.
- Government permitting processes.
- Familiarity with San Francisco permitting and event regulations.
