The Role TRADEMARK is seeking experienced, highly organized Technical Production Coordinators to support our Technical Directors across corporate, experiential, and broadcast-style live events on an hourly contract basis.
Our Technical Production Coordinators provide day-to-day production coordination and administrative support across projects and programs, helping keep technical work streams organized, vendors informed, schedules current, budgets tracked, and important details moving forward. By owning many of the coordination needs surrounding technical production, you will create greater bandwidth for our Technical Directors to focus on technical strategy, client relationships, problem-solving, and onsite execution.
You will work closely with Technical Directors, Producers, Production Managers, technical vendors, and crew leads throughout the event lifecycle. This role is ideal for someone who understands live event production, is highly organized, and enjoys keeping details, people, and information connected behind the scenes.
This is an hourly contract role, with the duration, weekly hours, and schedule varying based on project and production needs. Some engagements may begin with part-time hours and scale as programs move closer to execution, while others may require more consistent or full-time support during active production periods. Onsite support and travel may also be required for select programs.
What You’ll DoProvide day-to-day production coordination and administrative support across technical work streams, events, and programs
Attend internal, client, and vendor production meetings; capture notes, decisions, action items, and follow-ups Maintain action-item trackers and proactively follow up with internal teams, vendors, and crew to keep deliverables moving
Serve as a day-to-day point of contact for technical vendors, ensuring relevant information, updates, and changes are communicated clearly
Assist with developing, distributing, and tracking RFPs and vendor responses
Coordinate equipment and gear updates with technical vendors and maintain current information across project documents
Manage and maintain production, technical, and rehearsal schedules, ensuring changes are reflected across teams and documents
Track crew counts, schedules, and requirements and coordinate outreach with department and crew leads
Assist with technical vendor and crew logistics as needed
Track technical production budgets against actual costs, maintain current financial information, and flag discrepancies or changes for review
Maintain organized shared drives, folder structures, and project documentation so teams can easily access current information
Maintain linked Google Sheets and other working documents, ensuring information remains accurate and consistent across project files
Coordinate information and deliverables across Technical Directors, Production teams, vendors, and other internal partners
Proactively identify missing information, upcoming deadlines, and potential issues and help drive follow-up and resolution
Support onsite technical production coordination for select events as needed
Take on additional technical production coordination responsibilities as project needs and workload evolve
