Full‑time position located on the Lakeshore campus in San Francisco, CA. The Practice Coordinator will work Monday‑Friday, 8‑hour days, fully on‑site.
OverviewThe UCSF Medical Center is a patient‑focused organization that enhances health through care, research, and education. As a Practice Coordinator, you will serve as the public face of the outpatient practice, working closely with administrative, clinical, and management teams to support operations, customer service, and practice efficiency.
Key Responsibilities• Represent the administrative team and provide frontline customer service.
• Coordinate administrative tasks: CRM messaging, telephone encounters, referrals, APeX in‑baskets, scanning, filing, authorizations, and billing.
• Maintain routine clerical operations and communications while adhering to UCSF House and Telephone Standards.
• Work flexibly with changing priorities, solving problems, prioritizing tasks, and facilitating complex transactions.
• Ensure accurate information flow between medical staff, hospital departments, and patients to maximize unit efficiency.
• Be available to work at any UCSF campus as needed.
- High school graduate or equivalent with four years related experience; or college degree with six months related experience; or an equivalent combination of education and experience.
- Successfully passes fingerprinting protocol and is approved to be a cash collector, if applicable.
- Strong computer skills, including basic keyboarding and proficiency in at least two Office‑type programs (Outlook, Word, Excel) and multiple patient record systems.
- Ability to analyze situations, prioritize, and develop solutions with sound judgment.
- Ability to work independently with minimal supervision, often under deadline pressure.
- Excellent customer service and communication/interpersonal skills, both over the telephone and in person.
- Ability to sit at a computer terminal with telephone headphones for extended periods.
- Basic math skills.
- Demonstrated experience dealing with a wide variety of individuals and sensitively handling patients.
- Excellent organizational and problem‑solving skills.
- Strong writing skills for composing, editing, and proofreading a wide variety of documents.
- Demonstrated administrative/office coordination skills and knowledge of medical practice terminology.
- Within six months of start date, proficiency will be assessed in the following areas:
- Referral entry and handling all referral work queues
- Scheduling surgeries
- Working applicable work queues
- Entering/editing outside test results
- Messaging (CRM), if applicable
- Second calls in CRM, if applicable
- Telephone encounters
- My open encounter
- Staff message
- New message
- Routing patient advice requests to providers (My Chart)
- Patient schedule (My Chart)
- Letters
- Pools
- Patient lookup
- Check‑in process
- Check‑out process
- Comment field
- Quick note
- Scanning
- Experience in healthcare (medical, dental, or veterinary) with patient scheduling, insurance verification, medical record data abstraction, or patient financial services.
- Experience with appointment, ancillary service, or surgical scheduling, or a combination of all three.
- Bilingual or multilingual capability (Spanish, Cantonese, and Russian) is strongly preferred.
- Prior experience with EPIC.
